JOB DESCRIPTION Office Clerical/ NPS Coordinator Reports to: Service/Sales Manager GENERAL EXPECTATIONS: The NPS/Office Clerical person is responsible for calling customers and asking questions about their home buying experience. They relay that information onto fellow team members and retailers in efforts to make the home buyer satisfied with their purchase. They perform multiple administrative duties that strongly contribute to the efficiency of the organization. The role deals with many facets of our business from Sales & Service. This position is in a Team Environment. This position is on site, no remote schedule offered. Position Summary: Sales Coordinators serve as a valuable resource to both Customer Success Managers and Business Development Manager within the Home Building Facility. Sales Coordinators continuously assist in solving dealer issues, clarifying / completing sales orders, and organizing commitments and deadlines. Duties / Responsibilities: · Quoting homes via phone calls and through email, converting those quotes to orders, cancel orders as needed · Completing vinyl releases / AC / SC forms · Completing weekly scorecards · Prepare orders for release to production (print signoffs and final confirmations) · Assign serial numbers to orders and complete production change orders as needed · Collaborate with engineering to complete prints · Attend order read meetings with production and produce / release change orders to production · Update backlog by estimating offline dates, production schedules, and shipping schedules as necessary · Log orders in the facility SharePoint site · Keep retailer database updated regularly · Complete option usage reports · Floor homes on independent retail partner orders and verify funds on community orders · Set up new models by adding the standard features and options available to the models · Create new options by working with purchasing on pricing, material relief, and assigning the options to the models · 45L and Energy Star reporting · Shipping, as needed by dispatch · Calculating and inputting freight, create YTD volume list · Invoice homes by sending MCO and invoice to appropriate financial institution · Created data plates and month-end reporting · Collaborate and communicate with other facilities regarding production schedules, act as a backup for other facilities as necessary · Review weekly parts and A/R reports · Update matterports / layouts / photos using website management · Order materials for house packs for customers · Key inventory tickets and create retailer labels as needed · Other duties as assigned. Duties / Responsibilities: • Coach and train team in best practices for optimal customer experience, business partnerships, and overall knowledge of company and competitor’s products. • Define and refine the quality and expectations of our product through the lens of the homeowner and our retail partners. • Act as the Chief Communication Officer by actively collaborating with leadership across all levels and remaining engaged in and knowledgeable of all facets of business within the Home Building Facility. • Actively participate in the development and implementation of new software programs for our team, our retailers and our homeowners. • Oversee maintenance of facility website, digital assets, social media page(s), and marketing materials through third party marketing team or preferred means. • Maintain an active, positive relationship with the Customer Care Manager to ensure the most positive service experience possible for our retailer partners and homeowners. • Be a champion of customer care related programs and initiatives such as NPS and CX. • Maintain the vision of continuous coaching and idea sharing to retail partners and home building facilities to ensure optimal growth for all locations. • Organize sales functions to maximize clarity, efficiency, and productivity for the team, ensuring accuracy and timeliness in the sales process from beginning to end. • Assist with product development initiatives by keeping a pulse on competitors and the market. • Be an advocate for our range and quality of products and services. • Be a constant ambassador for our company and our recruiting efforts. • Manage inventory and all facets of the sales team’s leaderboard, using that to motivate and further develop the team. • Positively impact both the Brand Experience Manager and KPI Metrics where possible. • Track pay plans for the Customer Success Managers as well as the Sales Coordinators. • Cultivate a positive, high energy attitude to assist in promoting our focus on Team Member Experience with specific energy and focus directed towards creating and maintaining a team environment. • Encourage innovation, celebrate wins, and hold the team accountable. • Support and foster growth in market share by challenging current perceptions in the industry. • Responsible for personal development via P&L exposure with General Manager. • Other duties as assigned. Class A CDL Driver – Toter Driver Reports to: Terminal Manager Cooperates with: Driver Supervisors, Home Center Team, Manufacturing Team, Pilot Escorts General Expectations: A Toter Truck Driver is typically a senior driver with a Class A CDL and extensive experience and skills. This is a CDL qualified position responsible for the transportation of all classes of oversized and overweight loads. This position is also responsible for maintaining proper and accurate paperwork and ensuring a professional appearance with all vehicles. This position is accountable for basic and safe operation of all equipment. Drivers in this classification are also responsible to ensure they have all required permits before delivery. Specific duties: Safe and effective transportation of the oversized load within the region. Safe operation of all equipment including daily maintenance checks and electronic driver logs. Operating and maintaining all equipment to meet compliance standards set by the DOT. Partner with Driver Supervisors and Pilot/Escort Drivers to coordinate daily permits and load selection scheduled for delivery. Coordinate pick up the scheduled oversized load. Coordinate delivery and placement of the oversized load in the appointed retail location. Provide route information and best practices to the oversized load team. Returns to the terminal with completed delivery paperwork in a timely manner. Carry out end of shift/day clean up procedures, such as cleaning and servicing of work stations and equipment. Reports any traffic accidents or load damages to the local authorities and driver supervisor team in a timely manner.
