The EHS Team Lead must understand EHS law and regulations for their area of responsibility along with the Critical Performance Indicators and Key Performance Indicators related to customer expectations in this area. The objective is to deliver Facility Management at each site in a manner that protects all personnel and property while avoiding loss and providing business continuity. EHS Team Lead must be available to travel when requested. Responsibilities: Ensures continuity and sustainability of processes to review and evaluate contractor safety documentation, such as safety plans, permits, and licenses that ensure compliance with EHS standards.Develop and implement a robust contractor prequalification process to assess contractor capabilities, safety performance, and compliance with relevant standards.Collaborate with project managers and procurement teams to select contractors based on their pre-qualification results and ensure alignment with project-specific requirements.Administer contract terms and conditions related to EHS requirements, including incident reporting, hazard identification, and emergency response procedures. Essential Duties and Responsibilities The Human Experience Assistant Manager is directly accountable for the following typical activities: To establish effective lines of communication with GRE staff in the building(s) they manage and ensure service standards meet or exceed client expectations.Manage the HX scheduling coordinator roles and responsibilities.Manage the reception/s on the Executive Level. Oversee a large number of tasks performed by Admin including switchboard, mail, dealing with visitors, meetings and entertainment. Coverage for Admin when needed.To liaise with GRE, Client/s, FLIK and Property Management in any appropriate specialist resources regarding any Meeting and Events that may arise including receptions, security, Audio Visual, Catering, etc.To regularly visit all Conference Areas of the building(s) to maintain standards and anticipate problems that may arise. Inspect that room set-ups, catering, janitorial and AV needs are in place.To be responsible for ensuring all staff and contractors are aware of, and comply with, their responsibilities under the contract with particular emphasis on standards of service required.Act as a point of coordination and communication whilst working with the GRE Team to introduce initiatives and encourage a continuous improvement philosophy.To establish close working relationships with all Service Providers and the landlord. Coordinate feedback on their performance to the GRE Team to ensure service providers overall performance can be monitored and managed.Prepare and administer Fun Thursday and Wake-Up Wednesday budgets and monitor spend; contribute towards budget forecasts. This is to include any future corporate shared events.Ensure all documentation is kept up to date in accordance with HX standards.Keep up to date on Event Industry and best practices making recommendations to the GRE Team and Client/s where appropriate.Research and recommend local businesses for on-site events.Accountable to the Regional Manager for ensuring all staff and contractors operate in compliance with Health & Safety policies and procedures and with local and national legal requirements.Other duties as assigned. Prepares and/or reviews adjustments to tenant billing process.Manual Adjustment Forms – APM will be required to complete manual adjustment forms for all miscellaneous Tenant Service Request (e.g., requested HVAC over time, labor to hang white boards, keys).Financial Reporting - Assist with preparation and submittal of Monthly, Reports and ensure all deadlines are met as required by client. Prepare and submit monthly accruals prior to monthly reporting deadline in preparation. Complete monthly variance explanations to ensure we are staying in budget.Review CAM Reconciliations with appropriate manager for approval and ensure proper mailing of year-end reconciliations. Work with tenants on questions regarding the reconciliations once mailed and follow up on payments.Keep track of Real Estate Taxes due date; ensure checks are processed and mailed by due date and follow up to ensure payments were received and processed by the tax authorities.All files at the property should comply with JLL Audit requirements.Management Audit – Ensure compliance level of the JLL management audit is maintained and prepares all files and records in preparation for the audit annually.Operations Audit – Assist engineering staff in preparation of annual JLL Operations Audit.Leases- Review all new leases submitted and write lease abstracts. Submit lease abstract to Accounting.Works with Chief Engineer to assign employees to duties such as maintenance, repair, or renovation and obtains bids for additional work from outside contractors, pursuant to client and Jones Lang LaSalle guidelines.Works with Chief Engineer to ensure that emergency evacuation procedures are kept updated and life safety systems are operating effectively.Assembles and analyzes contract bids, and submits bids, recommendations and standard form contract agreement to Property Manager or General Manager for execution.Supports contract administration processes, including drafting contracts, scopes of work, following up with vendors, and preparing mandated contract package documents for review and signature.Prepare and/or review the annual jurisdictional forms and filings as required. (i.e Income & Expense, Real Estate Tax payments, Property Tax fillings, etc.Communicates regularly with the Property team, providing necessary support and information.Prepares and/or reviews financial statements and reports on status of office buildings such as occupancy rates and dates of expiration of leases.Customer Service – Provide superior customer service to all tenants, clients, contractors, and vendors at all times.Tenant Notification – Prepare tenant memos and correspondence as directed by Managers.Safety Warden Meetings – Work with PM, GM, and Engineering staff to plan an annual safety warden meeting.Tenant Move-In’s/Move-Out’s – coordinate all arrangements, notifications and acquire proper authorizations and collect certificate of insurance as necessary. Distribute annual tenant survey and perform follow-up as necessary.
