Within Hitachi Energy’s Innovation-as-a-Service function, you will coordinate the operational activities that keep the innovation service structured, reliable, and transparent for stakeholders across its interfaces. You will help ensure that innovation service offerings are repeatable, scalable, and support clear, actionable recommendations.
You will be responsible for the service framework and coordination, including how the team works with stakeholders and internally. This covers processes, project coordination practices, documentation, and operational tools. You will coordinate internal team planning, maintain up-to-date service information, and organize regular stakeholder meetings and updates.
For incoming requests and innovation landscape items, your focus will be on ensuring that all required information is collected and documented, working with the person responsible for the business contact. You will track requests, deliverables, owners, and deadlines, helping maintain clear visibility of progress and follow-up actions.
How you’ll make an impact
- Maintain and improve the service framework, covering stakeholder interactions, internal ways of working, processes, project coordination practices, documentation, information required at different stages, and operational tools.
- Maintain controlled intake forms and reusable meeting, reporting, and tracking templates. Support continuous improvement of operating practices and ensure the service methodology is consistently applied and documented.
- Ensure incoming requests and innovation landscape items contain the information needed for qualification and assessment. Maintain complete, current records and coordinate the collection of missing information with the person responsible for the business contact.
- Maintain the deliverable and case tracker, including ownership, deadlines, status, blockers, escalations, and next actions. Escalate delays or unresolved blockers.
- Coordinate inputs from relevant team contributors for business-facing briefings and communication materials.
- Prepare regular service status reports, portfolio health summaries, and governance inputs in concise written or presentation-ready formats suited to the relevant audience.
- Coordinate internal team planning and regular updates, keeping planned activities, assigned owners, deadlines, and progress visible and current.
- Understand innovation topics related to emerging technologies, particularly artificial intelligence, and translate them into clear, accessible materials.
- Organize and facilitate regular stakeholder governance meetings and service updates. Coordinate agendas, logistics, communication, minutes, and follow-up actions.
- Coordinate the regular joint qualification forum and other governance touchpoints with stakeholders. Ensure records clearly capture decisions, assigned owners, due dates, and open actions.
Your background
- At least three years of professional experience in service management, project coordination, PMO support, operations coordination, or programme administration in a technology or enterprise context. PM methodologies, including Agile and Scrum, would be an advantage.
- Experience coordinating service requests, tracking deliverables, organizing governance forums, and maintaining transparent service status reporting.
- Knowledge of emerging technology trends, particularly artificial intelligence.
- Strong organizational and documentation skills, with experience creating and maintaining service frameworks, process documentation, and templates in a structured service environment.
- Ability to coordinate internal planning, stakeholder meetings, and follow-up activities across multiple interfaces in a complex corporate environment.
- Strong stakeholder management and communication skills. Fluent English. A degree in business administration, information management, project management, or a related field is preferred.
- Knowledge of portfolio, demand, and requirements management.
- Familiarity with Microsoft products, ServiceNow, and IT portfolio and project management tools. Working in a DevOps environment would be an advantage.
