What this job involves
As a Facilities Support Specialist, you will be responsible for ensuring the smooth operation of various facilities-related tasks within the building. Your role will involve managing and maintaining the cleanliness and functionality of common areas, coordinating office supplies, and assisting with meeting room set-ups. Additionally, you will contribute to the overall safety and security of the building by conducting regular checks and reporting any issues to the Facilities Manager.
Your day-to-day tasks will include:
Regular building walks to identify and address any maintenance or janitorial needs
Checking and maintaining conference rooms, including cleaning, organizing, and restocking supplies
Monitoring and restocking the Bevi Machine with flavors and CO2 tanks
Refilling coffee machines, restocking creamer/tea, and ensuring cleanliness in the coffee areas
Maintaining inventory and stocking ice cream freezers
Placing routine ice cream orders to ensure sufficient stock
Conducting checks and replenishing hand sanitizers, soaps, napkins, and cups throughout the building
Assisting with meeting requests such as room set-ups, tear downs, and equipment arrangements
Performing weekly maintenance tasks, including coffee machine cleaning and checking printer toner levels
Regularly inspecting IDF closets for any unusual issues, such as leaks
Managing office coffee supplies and mailroom needs by placing orders with Staples
Conducting monthly fire extinguisher checks and reporting any faulty extinguishers
Submitting tickets for building functionality issues and coordinating with the building manager for resolution
Submitting tickets to Aramark for coffee/water machine issues
Coordinating repair requests
Monitoring and replacing flags when necessary
Ordering and stocking candy in the Facilities Office
Replacing batteries in badge readers as needed
Recycling toner cartridges as per the provided instructions
Desired experience and technical skills:
High attention to detail and strong organizational skills
Basic knowledge of office equipment and facilities maintenance
Ability to work independently and manage time effectively
Excellent communication and interpersonal skills
Proficiency in using computer systems and software applications
Requirements:
Prior experience in a facilities or support role preferred
Basic knowledge of safety protocols and procedures
Ability to lift and move objects up to 50 lbs
Availability to work occasional evenings or weekends as required
Preferred:
Experience with ticketing systems and facility management software
Knowledge of basic electrical and plumbing maintenance
Familiarity with vendor coordination and procurement processes
