We’re looking for a Facilities & Office Assistant Under the direction of the Supervisor of Office & Facility, the Facilities & Office Assistant is responsible for supporting general maintenance activities at the Kanata office and providing a wide range of general office support. At Entrust’s facility, you can expect to be working amongst a friendly and inclusive community of colleagues. To be successful in this role, your strengths will include a love of collaboration, problem solving, and helping others. This role is fully onsite from our office located in Kanata, ON. We offer flexibility We offer a diverse work environment Futureproof your career with a job in information security How you will make an impact: Perform upkeep and maintenance duties such as furniture moves & basic repairs, spot painting, interior cleanup and coordination of work by external vendors (such as electrical, minor construction, etc.) Oversight of site equipment such as HVAC and UPS and corresponding vendor relationships. Replenish and tidy coffee stations, including stocking necessary supplies, disposing of expired items, emptying dishwasher, etc. Place coffee and office supply orders, following standard inventory guidelines. Reconcile supply invoices against orders for accuracy prior to processing. Staff Reception desk as needed. Assist with new colleague onboarding, including desk set up, producing access card, etc. May conduct site tours as needed. Actively manage physical access credentials and office security for Kanata office. Assist in site functions/events, including room set-up/teardown ordering catering, clean up, etc. Perform other activities such as secure wastepaper and equipment collection. Perform irregular "seasonal" prep and cleaning activities, such as laying down/removing winter mats. Primary contact point of contact for visitors and couriers. Shipping small equipment and documents within Canada, arranging shipment and return of colleague IT equipment as required. Be aware of and comply with all workplace safety policies, always prioritizing safe working practices. Other tasks and general labour, as assigned. Qualifications: Basic Qualifications High school diploma Driver’s license and access to vehicle Minimum 2 years related experience Ability to obtain Canadian Secret Clearance Ability to lift up to 50 pounds and stand for 2 or more hours at one time Ability to operate site equipment (manual pallet jack, hand and power tools) Strong customer service skills Strong verbal and written communication skills Proficiency in the use of Microsoft applications such as Word, Excel and PowerPoint Demonstrated ability to succeed in collaborative work environments Flexible availability to work outside of regular business hours as needed Must be able to lawfully work within Canada Preferred Qualifications Knowledge of WHMIS and other workplace health & safety guidelines and legislation Experience in developing and implementing working documents and procedures Prior experience working in a fast-paced environment Why Should You Apply?
