Job Description Summary

Modern Minds is seeking a Director of Practice Operations with experience in building and/or operating medical clinics. The Director of Practice Operations will join our multidisciplinary team and be responsible for overseeing the day to day operations of the clinic including serving as the main point of contact for the organization, overseeing the revenue and billing systems, coordinating facilities, directly managing Modern Minds’ non-clinical staff, and indirectly managing of Modern Minds’ clinical team. The Director of Practice Operations will also serve as a liaison to the clinic’s Executive Director and Chief Psychology Officer.

Job Description

  • Reports on billing and financial performance of the clinic, non-clinical staff performance, clinical staff capacity levels, and any HR related items

  • Partners with clinical staff leadership to develop strategic initiatives to meet clinic and performance targets and tracks progress towards those targets for senior leadership

  • Oversight of regulatory and billing compliance in coordination with MUSC’s compliance department, maintaining insurance contracts, onboarding and maintaining of records and files on staff members

  • Point of contact for clients wanting to discuss billing, require support while applying individually to insurance for reimbursement, and overseer of clients on a sliding scale for pricing

  • Serves as the central communication cog between the care team and maintains fluid communication with clinical and non-clinical staff

  • Serves as main point of contact within the clinic for marketing, PR, and external affairs

  • Updating and management of quarterly board briefing materials, agendas, and presentations

Degree of Supervision: The Director of Practice Operations reports directly to the Senior Leadership team at Modern Minds.  The Director of Practice Operations works closely with the clinic’s Executive Director, Chief Medical Officer, and Chief Psychology Officer.

Additional Job Description

Required Minimum Training and Education:

  • Master’s Degree (or 8+ years' experience operating a healthcare clinic)

  • Experience launching healthcare clinics or working with startup healthcare clinics

    • Experience maintaining corporate insurance and billing for a business

    • Experience with billing insurance and working with clients on insurance reimbursement

    • Experience managing administrative and multidisciplinary clinical care team

    • Experience implementing an Electronic Health Record at a new clinic and training staff how to work in the HER

  • HIPPA as well as general compliance knowledge is required

Physical Requirements: Continuous requirements are to perform job functions while standing, walking and sitting. Ability to bend at the waist, kneel, climb stairs, reach in all directions, fully use both hands and legs, possess good finger dexterity, perform repetitive motions with hands/wrists/elbows and shoulders, reach in all directions. Maintain 20/40 vision corrected, see and recognize objects close at hand and at a distance, work in a latex safe environment and work indoors.  Frequently lift and/or carry objects weighing 20 lbs (+/-) unassisted. Lift from 36” to overhead 15 lbs.  Infrequently work in dusty areas and confined/cramped spaces.
