The Senior Facilities Manager leads a team of facilities associates in the delivery of and is responsible for the day-to-day facility operations, services, and maintenance activities at the assigned location(s). The position ensures client assets are operated and maintained in a cost effective non-impacted manner while providing a safe, clean, and comfortable work environment ensuring manufacturing uptimes. The Senior Facility Manager develops budgets, controls costs, coordinates service provider(s) and staff activities. Leveraging organization skills, problem solving, and creative thinking they resolve escalated issues, drive continuous process improvement and team development in a dynamic environment. The position provides regular performance feedback, development and coaching to direct reports. Extensive interaction with internal and external customers is required to ensure seamless delivery of these services while meeting Jones Lang LaSalle’s goal to provide our clients with the highest level of client service available.

Essential Functions:

  • Ensure compliance with portfolio wide initiatives, local, state and federal laws, and governing regulations that pertain to the operating of facilities on behalf of the client as owner.
  • Develop and manage facility operating budgets with the goals and objectives addressed for the assigned portfolio.
  • Provide monthly/quarterly/annual reporting appropriate for the client, track variances and ensure smooth recovery process within established targets.
  • Achieve cost savings through maximizing utilization of suppliers and preferred vendors/contractors and by identifying additional efficiency opportunities, consistent with client goals.
  • Survey all assigned facilities based on an established grading program including the mechanical equipment, building shell, interior finishes, energy effectiveness, etc. and develop recommendations for improvements.
  • Help to develop and gain approval for the annual capital plan including infra-structure upgrades and building modifications to ensure the building’s future capabilities are maintained.
  • Develop and maintain a high-performance team utilizing HR top grading and other tools for hiring, talent and succession planning, and development planning.
  • Manage the staffing, development, performance, and outcomes of assigned team reporting to the position.
  • Collaborate with account Sourcing team on national and regional sourcing opportunities to define scope, coordinate supplier walk-through, and manage national and regional supplier performance at the property level.
  • Ensure client satisfaction with Facility Management by providing a seamless interface into client real estate organization; demonstrate leadership, responsiveness, and creativity in delivering services.
  • Accountable for the accuracy and timely updates to all systems data utilized for the account process, procedures and metrics supporting IFM.
  • Proactively manage all facility services and communication in accordance with account and client standard processes, procedures, and KPIs to ensure superior customer satisfaction and performance levels.
  • Assist in the development and implementation of the annual management plan; and achieve key objectives and performance indicators as identified by the Account Manager.
  • Develop and implement innovative programs, processes and projects that aim to reduce short- and long-term operating costs and increase productivity or longevity
  • Coordinates with building operations for utility, facility, or other shut-down activity that can affect operations.
  • Effectively manage critical Incidents – zero target for controllable incidents caused by vendors, employees, and missed preventive maintenance work.

Engineering Oversight

  • Oversee Team performance of scheduled maintenance and operational programs to ensure maximum life, reliability, and efficiency of all property mechanical systems, which include, but are not limited to plumbing, electrical and HVAC including auxiliary equipment.
  • Oversee Team performance/scheduled general building maintenance including restroom repair, door, ceiling and floor repair, structural repair, client comfort, painting, grounds, and other tasks as necessary to maintain the properties in peak operation condition.
  • Controls engineering activities and building mechanical systems in emergency situations.
  • Oversee the Operations Audit process under the direction of their respective Regional Engineer/National Engineer account managers.
  • Oversee the maintenance of all infrastructure and compliance documentation for the building including up-to-date building drawings and single lines as well as documentation mandated for the purpose of maintaining regulatory compliance with Federal, State or Local law.
  • Oversee the identification of safety hazards within the building and incorporate the remediation of such hazards to ensure that the building’s staff and occupants work in a safe environment. Implement, administer, and manage safety training program.
  • Oversee the required OSHA and worker’s Compensation safety and accident reports on facilities.
  • Oversee Testing of/keeps records and maintains emergency equipment in good working order.
  • Oversee current and historical preventive maintenance records on all mechanical equipment.
  • Oversee evaluates, recommends, and monitors mechanical contractors.
  • Oversee purchasing of parts and supplies according to company policy and approved budget guidelines.
  • Oversee inventory control programs with appropriate parts stocking levels and accurate and timely records of receipts and issues.
  • Oversee, manage, document daily field operational issues.
  • Maintains ethical, professional, and courteous relations with contractors.
  • Oversee CMMS system to ensure current work order assignments and the timely closure of all tickets.
  • Manage the JLL Corrigo work order process, systems, and associated data continuity, as it specifically relates to central and facility management/reporting and maximizing Corrigo capability
  • Complies with all client CMMS standards and specifications to ensure database/firm integrity and standardization
  • Identify energy savings opportunities at facilities including system and operational changes that can decrease the property’s energy consumption.

Required Knowledge, Skills and Abilities (KSA)

  • Strong interpersonal skills and problem-solving ability
  • Excellent verbal/written communication and presentation skills
  • Proven record of providing excellent internal and external customer service
  • Knowledge of standard business and accounting practices
  • Advanced computer skills with emphasis on Excel and possess the ability to analyze data
  • Strong organizational, management, and supervisory skills
  • Experience in matrix management organization desirable
  • Knowledge of real estate, telecommunications, furniture, accounting and building systems
  • Demonstrated ability to develop successful relationships with and influence customers, both internal and external.


Working Environment

  • The job is performed in a manufacturing environment, mechanical, and production areas.  The facilities group is comprised of +/- 10 members including exempt and non-exempt positions. This position requires extensive contact with internal and external customers in order to effectively perform the job.

Minimum Required Education

  • Bachelors degree or equivalent work experience in Facilities Management with management/technical emphasis
  • 8 years industry experience required either in the manufacturing/corporate environment, third party service provider or as a consultant with demonstrated ability to exercise proper judgment
  • CPM, RPA or CSM designation is preferred
  • MBA is desirable
