The Coworking Community Manager’s main duty is to provide exemplary customer service to members and building management by creating a cohesive and prosperous coworking environment. The flexible workspace is located in the heart of Downtown Brooklyn with office suites, private offices, and meeting rooms.  The collaborative space offers individual office desks along with suites for teams of up to 56 people.  The Coworking Community Manager will guide members and users seamlessly through the coworking experience from initial interest through the day-to-day usage of the coworking facility. This person is also responsible for contract management and billing of services to clients, planning and execution of Center programming, social media management, and maintenance of facility equipment and technology.

JOB DUTIES

Business Development, Sales and Account Management

  • Assists the Center Manager with conducting tours and qualifying incoming leads
  • Manages client onboarding and welcome experience from office setup to meeting needs of full move in process
  • Support new member orientation to the workplace
  • Collect and process payments
  • Maintain member portal, keeping information current
  • Help with member retention and ensure positive client experiences

Center Management

  • Utilize a variety of coworking software applications to manage the space and membership data
  • Submit maintenance tickets for repairs to the facility and key equipment
  • Manage client issues, technology troubleshooting as needed and escalate to Center Manager if needed
  • Attend to kitchen throughout the day, light clean up, coffee machine maintenance, unload dishwasher, etc.
  • Ensure cleaning is conducted to entire coworking center
  • Be aware of local laws and regulations as they pertain to member safety and emergency preparedness

Customer Service

  • Deliver a range of services and customer initiatives to ensure exceptionally high levels of customer satisfaction are consistently delivered with a focus on continual improvement
  • Develop strong rapport with customers by developing good business relationships, reacting to feedback and resolving customer challenges
  • Act as a host of the workplace while facilitating the interaction of the community
  • Be well known, easily recognized and well appreciated by the employees
  • Knows employees on a first name basis and seek out information about the business and personal objectives of tenant organizations and their members
  • Drives behavioural changes needed to support a coworking space (i.e. hoteling etiquette)
  • Review client experience and identify areas for improvement
  • Foster a sense of inclusivity where fresh ideas are welcome

Events & Programming

  • Build a quarterly calendar of coworking events that engages all stakeholders:
    • Current members: Educational (e.g., lunch and learns) and appreciation events (e.g., happy hours and themed parties)
    • Future members: Lead generation and sales-related events
    • Local community: Identify outside organizers and encourage them to use our event space.
    • Create robust programming and event program within Flex budget
  • Oversee events, including catering, event check-in, and clean-up
  • Curate a robust offering of meaningful programming for Center members and visitors
  • Create marketing collateral for events and programming initiatives
  • Plan open-house events that align with Center Manager’s marketing strategy
  • Manage communications within the space and through digital vehicles
  • Negotiate event and programming vendor contracts
  • Maintain vendor relationships, agreements, certificates of insurances, commission reports, and preferred/non-preferred status
  • Process all event accounts receivable checks and other financial reporting in a timely manner
  • Other reports, duties, meetings TBD

SKILLS AND APTITUDES

  • Superior knowledge of coworking space functionality
  • Strong planning and organizational skills
  • Excellent interpersonal and communication skills
  • Takes initiative and anticipates needs of clients and members
  • Must have high proficiency in MS Excel and other spreadsheets, experience with CRMs, i.e. Salesforce, Caterease, etc.
  • Able to multi-task in a fast-paced environment, accommodating and communicating to a broad range of clientele with varied needs
  • Able to think quickly and efficiently when confronted with a client request
  • Motivated self-starter and creative problem-solver who is able to work with minimal supervision
  • Proactive, approachable and solution-focused
  • Professional demeaner and appearance
  • Contract negotiation experience
  • Candidates with outside sales experience is a plus
  • Flexible and adaptable
  • Punctual and consistent
  • Computer literacy, specifically MS Office applications and Internet
  • Social Media literacy – specifically managing company accounts - Facebook, Twitter and Instagram

EDUCATION AND EXPERIENCE

  • Bachelor’s degree or equivalent work experience
  • Hotel/catering/event sales/planning or marketing experience preferably coming from the hospitality industry with 3-7 years of experience
  • Demonstrates project management skills
  • Highly technically capable
  • Able to understand and work with the variety of hardware and software applications that our space depends on
  • Experience managing corporate social media campaigns
  • Experience with written content generation in a business environment and basic graphic design skills are a plus
  • Passion for the local entrepreneurial community
  • Interest in working independently as well as with Flex team, Property Management team, and XM corporate staff
  • Displays a high-level of ethics, empathy and dependability
  • Previous community involvement or networking experience is preferred

Estimated compensation for this position is:

75,000.00 – 10,000.00 USD

The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant’s education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
