JLL is hiring an Accounting Administrator for a 12 month contract at the Bay Centre in Victoria. This role reports to the General Manager and is responsible for all tenant receivables, accounts payable, and financial reporting. Additionally, you will help manage year end activities like annual budget preparation, rental notices, and reconciliations.

The ideal candidate is well rounded in general accounting and financial reporting principles and enjoys working in a fast paced, customer centered environment.

What this job involves :

  • Timely and accurate recording, payment, and reporting of recoverable, non-recoverable, and capital expenses.
  • Maintaining high-level record-keeping for Capital Projects including recoverable and non-recoverable expenses, landlord work, tenant allowance, construction management fees, and leasing commissions.
  • Keeping accounts receivables at a satisfactory level by reconciling outstanding accounts, posting collection monies accurately and on time, maintaining accurate files, and following up with landlords/tenants.
  • Maintaining records of negligent accounts and reporting them to management.
  • Ensuring Rent Roll and associated charges are accurate and up-to-date.
  • Recording and billing Minimum Rent, Additional Rent, and Percentage Rent in accordance with lease agreements.
  • Reviewing and reconciling monthly rent roll to the general ledger and budget.
  • Maintaining the Percentage Rent Report by tenant and reviewing tenant billings for variances and adjustments.
  • Maintaining manual ledgers for Short-Term and Specialty Leasing revenues and receivables.
  • Preparing and issuing Rental Notices for annual rent increases and step-ups in accordance with lease agreements.
  • Reviewing and facilitating the preparation of year-end billings and rental notices.
  • Verifying lease set-up in Yardi and providing additional information to Lease Administration as required.
  • Providing instructions to accounting regarding holdovers and terminations.
  • Facilitating the budget process by preparing detailed calculations and supporting documentation for the current reforecast and annual budget.
  • Planning the operating budget for the property and preparing variance analysis.
  • Reviewing operating and maintenance contracts to ensure adherence and proper billing.
  • Preparing monthly management report packages including various reports, detailed schedules, and variance analysis.
  • Generating weekly, monthly, quarterly, and annual reports for analysis and distribution.
  • Generating the monthly Operating Statement, Internal Reports, and Variance Analysis.
  • Reviewing CAM and Tax Recovery reconciliation and working papers in line with lease agreements.
  • Assisting in other areas within your expertise, such as reviewing and analyzing materials and offering recommendations for enhancements.
  • Performing other duties as necessary as directed by the General Manager.

  • Real Estate/Property Management environment a definite asset
  • Post secondary education in an accounting program is preferred.
  • Experience with Yardi Accounting System is an asset

Estimated compensation for this position is:

65,000.00 – 78,000.00 CAD

Salary ranges are based on market data, which is reviewed annually and includes consideration of geographic location. An employment offer is based on an applicant’s experience, education, skills, abilities, and geographic location.
