We are looking for a Senior Occupancy Planner to join our Global Occupancy Planning and Management team with a dedicated client account role.

What this job involves

  • Act as the main point of contact for occupancy & space questions in the assigned portfolio: manage and resolve space requests; provide current state assessments, programming & test fits, strategies; maintain neighborhood allocation plans; and be aware of the workplace conditions at each site.

  • Strong analytical skills required to perform analysis with onsite attendance & utilization data available to understand return to office trends and measure ongoing space demands.

  • Develop relationships with end user customers to understand their business needs, and facilitate and/or resolve planning issues identified by them.

  • Respond to rapidly changing business needs with flexibility and commitment to think creatively to problem solve for evolving scope and requirements.

  • Ability to balance and management multiple projects simultaneously including strategies, test fits, business programming, small projects, relocations, consolidations, furniture changes, branding changes, etc.

  • Support evaluation and implementation of client’s Global Design Guidelines and hybrid workplace program at all times

  • Responsible for maintaining regional headcount and space metrics across the EMEA portfolio to build trending analytics

  • Support account and client initiatives for consistent global occupancy and utilization metrics including Business Intelligence and AI efforts.

  • Use creative and analytical thinking to aggregate data from multiple sources and generate solution options for occupancy problems, providing analysis for client decision making

  • Support development of the business case for real estate actions based on business requirements, client programs/initiatives, time constraints, lease options, current supply of space and projected demand for space.

  • Utilizing a CAFM/IWMS database, manage allocations and maintain data accuracy, and perform quarterly data and drawing audits

  • Perform physical space audits/walkthroughs as required

  • Report on building data, business organizational data, and occupancy metrics at the building, campus or regional level using Excel and other upcoming technologies available.

  • Measure, monitor and report cost saving and value added contributions

  • Occasional travel within EMEA region might be requied

  • Contribute to sustainability initiatives and bring creative ideas for continued advancements

  • Help in PDS system administrative tasks (upload information, reporting)

  • Develop relationships with local PDS teams in EMEA countries

  • Support business case preparation by obtaining quotes from local PDS teams

  • Follow up on Project Management activities during all project phases in the EMEA region to ensure projects are delivered as per client expectations meeting the CPIs/KPIs.

  • Support small projects remotely if needed.

Interested? An ideal candidate would need to have the following qualifications

Desired experience and technical skills  

  • Bachelor’s Degree in Architecture, Design, Real Estate, Construction or a related field

  • 3 to 5 years work experience in occupancy or space planning for corporate clients; or interior office planning, move/project management or related Facilities function in a corporate real estate setting as a vendor or end user

  • Having worked as a PM or in any project related activity preferred but not required

  • Excellent written and verbal communication skills; able to explain complex information in a straightforward manner

  • Possesses a working knowledge of office design principles workplace programs

  • Literate in reading and interpreting floor plans

  • Demonstrated intermediate or higher proficiency in MS Excel including pivot tables and V-Lookups

  • Ability to consolidate data and floor plans into MS PowerPoint for presentations to client and lines of business

  • Proficient in AutoCAD for test fit option development

  • Proficient in CAFM/IWMS database (i.e. FMS, Manhattan, Tririga, Serraview, Archibus, or similar). 

  • Self-motivated, able to work independently and within a team to build relationships and interact effectively with business partners

  • Strong oral and written communication skills.

  • Comfortable with frequent or rapid change; flexibility to adapt to shifting priorities

  • Ability to effectively manage time, organize and prioritize deliverables and workload

  • Demonstrated consistency in values, principles and work ethic

  • Understanding of and commitment to client service

  • A desire to work within a diverse, collaborative, and driven professional environment.
