Sr. Transport Coordinator - JLL

Job Description

The Senior Transport Coordinator will partner with the Facilities Management team to oversee day-to-day transportation and logistics operations at the Charles Schwab site, ensuring seamless delivery of shuttle services, fleet management, and transport coordination while driving continuous improvement and operational excellence.

Key Responsibilities

Daily Operations Management

• Oversee day-to-day transport operations across the Charles Schwab site including employee shuttles, visitor transportation, and logistics services
• Ensure all transport schedules, routing, and dispatch activities are executed flawlessly and meet service level commitments
• Monitor and manage fleet inventory, vehicle maintenance schedules, and transport equipment to maintain optimal operating conditions
• Drive continuous improvement initiatives to enhance service delivery, route optimization, and operational efficiency

Contract & Vendor Management

• Manage transportation vendor contracts and service agreements as approved by Charles Schwab stakeholders
• Ensure vendor invoice processes comply with JLL and client standards
• Conduct routine service audits to maintain vendor performance and accountability
• Coordinate with transportation providers to address service gaps and optimize delivery

Risk Management & Compliance

• Participate actively in emergency evacuation procedures and drills
• Support crisis management and business continuity planning initiatives related to transportation
• Monitor and address health and safety issues proactively, ensuring compliance with DOT regulations and safety standards
• Conduct reviews of driver safety protocols and recommend improvements as needed

Financial Oversight

• Monitor and manage the transportation operational budget
• Track expenditures related to fleet operations, maintenance, fuel, and vendor services to maintain cost control measures
• Provide financial reporting to support budget forecasting and planning
• Identify cost-saving opportunities through route optimization and resource management

Client Relationship & Service Excellence

• Serve as a key point of contact for transportation matters at the Charles Schwab site
• Address complex issues proactively and identify opportunities for operational improvement
• Maintain alignment with the facilities team to achieve key performance metrics (KPIs)
• Ensure consistent delivery against service level agreements (SLAs) for all transport services

Reporting & Documentation

• Create and submit transport activity reports, fleet utilization data, and monthly management reports
• Provide regular updates to Charles Schwab stakeholders on operational performance and service metrics
• Maintain comprehensive documentation of all transportation activities, incidents, and maintenance records
• Generate insights and recommendations based on operational data and performance trends

Required Qualifications

Education & Experience

• Bachelor's degree in Logistics, Supply Chain Management, Business, or related field
• Minimum 3–5 years of experience in transportation coordination, fleet management, or logistics, preferably in corporate or financial services environments
• Strong knowledge of transport operations, fleet management, and soft services delivery

Technical Knowledge

• Solid understanding of DOT regulations, occupational safety standards, and transportation compliance requirements
• Demonstrated aptitude in client-centric operations and service delivery
• Working knowledge of transportation management systems, GPS tracking, and fleet management best practices
• Valid driver's license with clean driving record

Leadership & Soft Skills

• Ability to effectively implement improvement plans and drive change
• Superior communication skills (written and verbal)
• Strong reporting and presentation capabilities
• Proactive problem-solving mindset with attention to detail
• Professional demeanor with a client-first attitude
• Ability to work flexible hours including occasional evenings or weekends as needed
