Responsibilities
Overall Role
Facility Manager is responsible for providing a good working environment for clients. This person will handle all Facility related tasks and ad-hoc requests, financial tasks at the office onsite located in Tokyo. Daily communication with clients based in Australia and India, as well as regular coordination with Japan representative in Tokyo, will be a key part of this role.
Key Tasks & Responsibilities
1. Provide daily on-site operations support to Infosys Japan office
2. Reception
o Welcome guests
o Meeting room set up / clean after used
3. Mail / courier services
4. Security and Employee ID card
o Arrange ID card for new hire, request printing to India office
o Return or dispose resigned employee ID card
5. Pantry Services
o Beverage order (1 Suntory water server / 1 Coca Cola vending machine / Apex coffee)
o Ensure timely replenishment and proper disposal (support)
6. BCP plan support / emergency supplies arrangement and provide inventory check
7. PPM arrangement such as UPS about 4-5 units, AC, cleaning, lighting, pest control
Most assets are taken care by landlord.
8. Track and maintain preventive and planned maintenance of office
9. Provide proper repair arrangements on Infosys assets
10. Manage and provide proper communication with vendors and landlord who provide services including
11. Maintain and order office supplies and stationery (support)
12. Finance
o PO creation
o Leasing / FM services related invoice management (send invoices to offsite team)
Invoice management 10-15 invoices
13. Monitor and respond to email and inquiries related to office services
14. Any other facility or workplace services related activities and when requested by Client
15. Support Projects as needed (Expansion planned in next Summer)
- Event
All hands event every Quarter
Year end party (support as needed)
Annual fixed asset verification
Escort vendor when they access HR/FIN/IT room
Ariba support between vendor registration mainly language support
Required qualifications, experience, skills and others.
Knowledge and Skills Required
- Minimum 3 years’ experience in building services or facilities management / related work
- Business level of Japanese, verbal and written
- Daily conversation in English / Japanese
Competencies
- Excellent communication skills, both written and verbal, as well as interpersonal skills.
- Ability to achieve efficient operations through time and task management skills and motivated work execution capabilities.
- Flexible mind and correspondence, communicating with stakeholders in India, Australia and Japan.
- Able to see things from the client’s standpoint, listen and observe to anticipate client’s needs.
