As the Melbourne Operations Administrative Assistant, you will provide the leadership team with high quality administrative and executive support.  You are the primary office contact and will play a vital role in operations planning and coordinating management and administrative activities. You will use your exceptional organization, meticulous attention to detail, adaptive communication to juggle competing priorities and facilitate achievement of goals and objectives.  

What you will do:

  • Maintain strict confidentiality of all information and data.
  • Be proactive and highly responsive providing administrative support to leadership.
  • Assist with calendar management, making priority decisions to resolve conflicts.
  • Coordinate and execute Employee Engagement team events.
  • Coordinate travel for department personnel and assist in expense report preparation.
  • Coordinate inter-departmental activities.
  • Act as administrator for department SharePoint websites, including site content updates, supporting user access, and assisting users with questions.
  • Maintain office supplies for department, including tracking, ordering, and organizing.
  • Draft email communications and announcements at an organizational level.
  • Maintain organization charts and distribution lists.
  • Proactively identify ways to enable greater productivity and efficiency in role.
  • Demonstrate high degree of professionalism in behavior and manner.

Education & Experience

Skills You Must Have

  • 4+ years’ experience in administrative support  
  • Experience with email systems and Microsoft office suite tools (MS Word, Power Point, Excel), electronic collaboration tools, and video conferences
  • Experience with calendar management, meeting scheduling and coordination, planning events, expense reports, and data reports
  • Experience using advanced functions in Microsoft Office 365 Suite.

  • Experience with working on mobile devices and using this technology for increasing productivity.
  • Driven self-starter capable of working autonomously in a highly visible, fast-paced, high-pressure environment.

  • Ability to anticipate needs, be proactive, and apply sound judgment when making decisions.

Onsite: Employees who are working in Onsite roles will work primarily onsite. This includes all production and maintenance employees, as they are essential to the development of our products. Minimum Program Qualifications
