Job Summary:

The Program is seeking to hire an Executive Assistant, which is located in Tucson, Arizona at Raytheon. This position will support the program other direct staff of the Program Office.  The position will oversee and administer the day-to-day activities for the leadership of the Program.  This position will require the ability to act independently, prioritize multiple tasks, and anticipate the needs of the program leaders including, geographically dispersed program managers.  In addition, this person must have the ability to exercise discretion to handle and protect sensitive and confidential information. 

This position is either remote (if located outside of Tucson, AZ) with willingness to travel or hybrid  (if located in Tucson, AZ) with onsite support expected 2-3 days/week.

Responsibilities to Anticipate:

  • Serve as primary liaison between directors and other staff members within the program, product line and other locations
  • Manage workflow for program director to include: maintaining schedule of appointments and prioritize level of importance; answer questions and resolve concerns, answering telephone calls and managing messages; plan domestic and international travel; prepare expense statements; and perform various tasks specific to the director and his program staff
  • Plan and coordinate events, meetings, customer and supplier visits to include conference room reservations, teleconferencing, catering services and video conference
  • Coordinate materials prior to meetings/events and set up pre-briefs
  • Ability to plan and execute major events to include internal and external customers such as a Program Management Review including security/badging coordination and escorting
  • Initiating facilities requests and interfacing with the facilities organization
  • Special assignments such as arranging business luncheons, dinners, and employee morale functions

Basic Qualifications:

  • Typically requires a High School Diploma or AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience.
  • Experience using Microsoft tools such as Word, Excel and Powerpoint

Preferred Qualifications:

  • Previous program office experience and at least 2 years of Raytheon administrative experience
  • Attention to detail, ability to work independently with minimal supervision, and adapt to changes in priorities in a fast paced environment
  • Proven success working in a team environment
  • Must demonstrate high degree of professionalism in behavior and manner
  • Excellent communication skills, oral and written communication
  • Proactive, flexible and demonstrate initiative
  • Strong interpersonal skills
  • Familiarity with Raytheon company policies, procedures, forms and processes
  • Proficiency with the Raytheon Proprietary Awards and Recognition System, Visitor Request System and PRISM (for international shipping requests)
