Facilities Coordinator – Toronto


Position Summary

The Facilities Coordinator provides operational and administrative support for the day-to-day workplace and facilities functions within a Toronto office environment. This hybrid role is primarily responsible for supporting mail room operations, office and meeting space setup activities, and general facilities coordination tasks while assisting with administrative support as needed.


The ideal candidate is organized, service-oriented, adaptable, and comfortable working in a fast-paced office environment with a variety of responsibilities.


Key Responsibilities


Mail Room Operations

  • Manage incoming and outgoing mail, courier services, and package distribution.
  • Coordinate shipping and receiving activities, including tracking and delivery support.
  • Maintain mail room organization, inventory, and operational standards.
  • Liaise with courier vendors and building management regarding deliveries and logistics.

Facilities and Floor Support

  • Assist with office, meeting room, and event space setups and reconfigurations.
  • Support daily office walkthroughs to ensure workplace standards are maintained.
  • Coordinate minor facilities requests and escalate maintenance issues as needed.
  • Assist with furniture moves, supply replenishment, and workspace readiness activities.

Administrative Support

  • Provide general administrative support to the facilities or workplace team.
  • Assist with invoice processing, purchase orders, and vendor coordination.
  • Maintain facilities records, logs, and operational documentation.
  • Support scheduling and coordination for workplace initiatives and projects.

Workplace Experience

  • Serve as a point of contact for employee facilities-related requests.
  • Help maintain a clean, organized, and professional office environment.
  • Support employee and visitor experience initiatives as needed.

Health, Safety, and Compliance

  • Support workplace safety procedures and emergency preparedness activities.
  • Assist with maintaining compliance with office and building policies.
  • Report safety or operational concerns promptly.

Qualifications

  • High school diploma or equivalent required; post-secondary education preferred.
  • 1–3 years of experience in facilities coordination, office services, mail room operations, or administrative support.
  • Experience in a corporate office environment preferred.
  • Familiarity with mail and shipping processes and general office operations.
  • Proficiency with Microsoft Office applications.

Working Conditions

  • Standard work schedule is Monday through Friday during regular business hours.
  • Hybrid role based in Toronto with regular onsite presence required to support office operations.
  • Position may require lifting, moving packages, and supporting office setup activities.
  • Occasional after-hours support may be required for office events or operational needs.

Estimated compensation for this position:

50,000.00 – 60,000.00 CAD per year

This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
