Facility Manager
Position Overview
The Facility Manager is responsible for overseeing the day-to-day operations, maintenance, and management of corporate office facilities to ensure a safe, efficient, and productive work environment. This role serves as the primary point of contact for all facility-related matters and coordinates vendor relationships, building systems, space planning, and compliance activities.
Key Responsibilities
Operations & Maintenance
- Oversee daily facility operations including HVAC, electrical, plumbing, life safety systems, and building security
- Develop and implement preventive maintenance programs to ensure optimal performance of building systems and equipment
- Coordinate emergency repairs and respond to facility-related issues promptly
- Maintain accurate records of maintenance activities, inspections, and equipment inventory
Vendor & Contract Management
- Source, negotiate, and manage relationships with contractors, service providers, and vendors
- Oversee janitorial services, landscaping, security, and other outsourced facility services
- Review and approve invoices, ensuring services meet quality standards and budget parameters
- Conduct regular vendor performance reviews
Space Planning & Workplace Services
- Manage space allocation and office moves, adds, and changes
- Support workplace initiatives to optimize space utilization and employee experience
- Oversee conference room management, mail services, and reception operations
Health, Safety & Compliance
- Ensure compliance with local, state, and federal regulations including building codes, environmental standards
- Perform regular facility inspections and safety audits
- Manage incident reporting related to facility issues
Budget & Financial Management
- Develop and manage annual facility operating budgets
- Track expenses, identify cost-saving opportunities, and forecast future needs
- Prepare financial reports and present recommendations to leadership
Project Management
- Plan and execute facility improvement projects including renovations, upgrades.
- Coordinate with architects, engineers, and construction teams
- Ensure projects are completed on time, within budget, and with minimal disruption to operations
Qualifications
Education & Experience
- Bachelor's degree in Facility Management, Engineering, Business Administration, or related field, or equivalent experience
- 5-7 years of progressive facility management experience in corporate environments
- Experience managing multi-floor office buildings preferred
Technical Skills
- Strong knowledge of building systems, operations, and maintenance best practices
- Familiarity with computerized maintenance management systems
- Understanding of environmental sustainability practices and energy management
Professional Competencies
- Excellent problem-solving abilities and critical thinking skills
- Strong vendor negotiation and contract management capabilities
- Effective communication and interpersonal skills with all organizational levels
- Ability to manage multiple priorities in a fast-paced environment
- Leadership skills with ability to supervise internal teams and external vendors
