We are seeking a Senior Occupancy Planner to deliver occupancy and space solutions that achieve our client’s corporate real estate strategies. You’ll advise on what’s possible within the framework of workplace programs and portfolio strategy. This role reports to a Regional Planning Lead and will interact with business leaders and the Real Estate team up to the senior manager level.

The position is based in Charlotte, NC but we are open to candidates in the nearby NC, SC region if willing to travel occasionally. 

What this job involves

As a Senior Occupancy Planner, you will support and develop workplace strategies and solutions for a variety of workplace projects.  You will be part of a planning team that solves occupancy and space issues within the framework of our client’s workplace program guidelines and metrics.  You’ll interact directly with our client’s internal Real Estate team and Line of Business partners.  You’ll also work as part of a diverse and integrated team including Occupancy Planning, Market Planning, Move Management, and Project Management.

Relationship Management / Delivery

  • Building relationships with your end user customers will be key to understanding their business needs, promoting workplace solutions and concepts to them, and resolving their workplace issues.
  • You’ll be an advocate for your clients, and partner with them to understand and support their real estate goals.
  • You’ll be on point to answer questions about the workplace program, space, occupancy and allocations for your assigned lines of business. You’ll be familiar with the workplace conditions and use that knowledge to create space solutions and resolve requests.
  • You’ll partner with a wide variety of teammates that will depend on the work you do.
  • To be successful in this role, you should be able to see the small moving parts that make up the big picture, and effectively communicate and collaborate with our move coordination team to support strategic migration schedules and tactical moves.
  • You’ll keep on top of things as you’ll often need to reorganize your time day to day, to support your team’s dynamic workload and client requests.

Occupancy Planning Expertise

  • Familiarity with space utilization methods and presenting utilization data will be required. You’ll work closely with clients to reconcile data discrepancies, as well as track and report actual seat demand at the group level.
  • Planning and maximizing capacity will be a focus area, while you assist clients in their migration plans, group, and individual moves. This will involve using various forms of qualitive and quantitative data to understand supply and demand.
  • Develop occupancy and space solutions including stacking plans, block plans, allocation plans, and/or adjacency diagrams to convey future use of space and/or layouts, using AutoCAD, PowerPoint and Excel.
  • Support a variety of project types at existing and new properties including: co-locations, scenario planning, flexible workspace, workplace renovation and densification, restacking.
  • You’re able to effectively gather the customer’s workplace requirements/scope through asking the right questions and active listening to understand the underlying business needs.
  • You will conduct feasibility reviews and develop solutions by using data, analytical insights, and strong problem-solving skills to present multiple scenarios to stakeholders.
  • Day-to-day tasks would include tracking and managing occupancy data, gathering space and adjacency requirements, fulfilling space requests and move work orders to ensure timely completion and regulatory compliance requirements are met.
  • Creative and analytical thinking are natural to you, enabling you to aggregate data from multiple sources, and develop clear options for client review and decisioning.
  • Your participation in development of the business case for real estate action will ensure the team considers business requirements, client programs/initiatives, time constraints and projected demand for space.
  • You’re accurate and thorough with your scope documentation, including associate move lists, options for pricing, and execution plans for hand off to project management partners.

Workplace Analytics

  • You’ll report on workplace utilization, building data, organizational data, and occupancy metrics at the campus, metro, or regional level using business intelligence dashboards, CAFM/IWMS, MS Excel.
  • Manage space allocations and data accuracy using FM:Systems Space.
  • Ensure all seat assignments comply with adjacency and compliance requirements and deliver timely resolution of non-compliant seat assignments.
  • Perform physical space audits/walkthroughs as required to ensure the success of relocation projects.

  • A working knowledge of occupancy utilization, workplace strategy, office design principles and trends such as the mobile or collaborative workplace; literacy in reading and interpreting floor plans
  • Commercial interiors space planning skills using AutoCAD
  • Critical thinking skill sets and ability to easily tell a story through data. You will be successful on the job if you have skills in Microsoft Excel (pivot table, vlook-up, cell calculations), and understand floorplans. Proficiency in Microsoft Office Suite and the ability to consolidate data and floor plans into PowerPoint Presentations for clients will be highly valuable for the job.
  • Creative and analytical thinking, strong communication and collaboration skills
  • Great relationship building skills and a client experience focus
  • Responsiveness to ensure project commitments and goals are accomplished on time
  • Strong organizational skills to manage client information and project details
  • Excellent communication skills are important – both written and spoken. An individual with strong interpersonal skills, able to understand complex ideas and communicate them to others, and an ability to interact with executive-level external and internal clients will be successful in the role. You’ll be effective in your role by learning to ask the right questions to understand the underlying needs of our clients.
  • Thinking strategically, simplifying the complex, seeing the big picture, and driving results are few of the basic requirements of the job. Moreover, you should thrive on change with an appetite for risks and be proactive and innovative with solutions. We would love your intellectual curiosity towards digital drive, hunger for learning, and urge to meet deadlines.
  • Attentive to detail and accuracy - particularly numbers and spatial creativity
  • Resourcefulness, initiative and negotiating skills will help you to succeed
  • Ability to work independently and manage your time to meet deadlines. 
  • Proficient in CAFM/IWMS database (i.e. FMS, Manhattan, Tririga, Archibus, or similar) and graphic tools (i.e. Adobe, AutoCAD)
  • 5 or more years work experience in occupancy or space planning for corporate clients, or interior office planning, office renovations, furniture planning, project management or related functions in a corporate real estate setting
  • A Bachelor’s Degree is required
  • Change management experience is a plus
