Pay: $76300 - $110600 + 7.5% annual target bonus

Location: 500 Terry A Francois Blvd, San Francisco, CA (on-site)

Travel: quarterly travel to Seattle, WA with flexibility as needed

We are looking for a Workplace Experience Concierge Manager that will be working closely with the JLL Facilities Team & the Workplace Experience Team for the Atlassian account to create the best workplace. In this role, you will be responsible for all aspects of experience focused services including soft services, amenity programming, customer experience training and operations, managing experience strategies, and day to day service delivery in support of Atlassian’s West Coast offices; Seattle, San Francisco, and Mountain View.

Duties & responsibilities

To deliver exceptional experiences to Atlassian staff and their visitors. Representing both the JLL and Atlassian brand to the highest standard.

Concierge Operations

  • Provide a warm and professional welcome and farewell to all Atlassian staff, visitors, and vendors.

  • Provide a hotel-style ‘hosted’ arrival experience for Atlassians and visitors.

  • Provide registration support and issue access passes and visitor passes. 

  • Conference and meeting room scheduling and support.

  • Manage and oversee a very high volume of Jira tickets requiring Concierge support across a number of Experience products; including:  Intentional Togetherness Gatherings, Office Event Support, and ‘For You’ Services, and Maintain the lobby and front desk areas in a neat and organised manner.

  • Seek opportunities to improve support and delivery of services.

  • Professional personal presentation at all times, elevating and upholding grooming standards.

  • Respond to enquiries from internal and external customers

  • Point of contact for FM team absence.

  • Responsible for coordinating coverage of role in the event of required absence.

  • Receive incoming deliveries and manage the distribution

  • Arrange couriers and taxis on request.

  • Contact Security immediately for any security risks.

  • Support emergency response requirements and act as floor warden where required. 

  • Manage voicemail messages.

  • Coordinate food and beverage, stationary and IT services as required.

  • Proactive communication with all Atlassian clients to effectively manage service delivery.

  • Processing of outgoing mail.

  • Provide Event support to large in-house Atlassian events as required.

  • Support the provision of Food and Beverage services across sites and place orders with catering vendors. 

 

General Management

  • Assist in the implementation of Industry Best Practice operations

  • Maintain premises in neat and good working condition at all times

  • Manage the operational team with regular team meetings.

  • Ensure all HR matters are addressed and handled efficiently and aligned to JLL policy.

  • Responsible for recruitment of the team should the need arise and ongoing development and performance management. 

  • Vendor management when required.

  • Develop, implement and revise Global Concierge Playbook and relevant Workflows, in collaboration with Global and Regional Concierge Leads.

  • Provide support to Account leaders as required.

Employee Specifics 

  •  This is a full-time, onsite role, and will be required to be in the client's San Francisco office. 

  • We are looking for an experienced operational leader, who brings professionalism and hospitality knowledge to our team.

  • A motivated self-starter with a proven track record of successfully delivering best practice and quality to their client.  

  • Prior experience leading and managing an events, concierge, conference centre, hotel, or hospitality team preferred. 

  • Willingness to travel within the USA as required.

Qualifications 

  • 3-5 years experience in hospitality, events, facility or property management and/or knowledge of commercial real estate or hospitality industry, preferred.
  • Excellent verbal and written communication skills with the ability to communicate in a clear, concise professional manner. 
  • Desirable: Proficient skills in G-Suite, Confluence, Jira, Coupa

Estimated total compensation ran for this position is:

76,300.00 – 110,600.00 USD per year

The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant’s education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
