What this job involves - The Soft Services Coordinator will have a primary focus on client customer satisfaction for services which may include but is not limited to cleaning/custodial, landscaping, solid waste & recycling, and pest control. The coordinator will strive towards innovation of services offered, assist with lowering cost of delivery, and works with suppliers to integrate the service into operations while dramatically enhancing the customer experience. The coordinator will support the services effectiveness in quality assurance programs, and drive towards a higher level of cleanliness as well as meet or exceed scoring metrics as stipulated in both Client and Vendor contracts in a GMP environment.

What is the day to day?

  • Primary responsibility is to coordinate facility soft services activities that includes but not limited to building and facility maintenance and JLL subcontractor management programs in a GxP environment by ensuring all service activities and documentation is complaint with good documentation practices (GDP), quality compliance requirements, and applicable standard operating procedures.

  • Responsible for coordination of maintenance activities regarding to pest control, ground maintenance (landscape & hardscape), waste management (recycling, domestic/sanitary/universal waste, compactor maintenance, etc.), mail services, logistics and facilities support services.

  • Responsible for alerting management of any unsafety condition or behavior, and promote safety culture in all maintenance activities including subcontractors, suppliers and visitors.

  • Support EHS team to fully comply with all EHS programs requirements, and assist with any technical issues arising from an incident, near miss, good catch, investigation or other circumstances which require building and facility maintenance expertise.

  • Comply with all GMP and Non-GMP requirements of the client contract and meet or exceed key compliance requirements.

  • Perform critical scheduling and coordination of maintenance soft services in conjunction with area managers, hard services supervisor and maintenance planners for fit and finish work scope, plus attend to critical work and complete closure within the require specified time.

  • Responsible for creating and updating required maintenance services purchase requisitions, also support MRO, procurement and finance activities including all payables through purchasing system and MRO stockroom operations.

  • Ensure compliance of all regulatory laws and guidelines are met in accordance to their SOP’s as they relate to the work being scheduled by maintaining JLLs practices across all maintenance activities to meet client and authority having jurisdiction (AHJ) compliance requirements.

  • Participate and ensure that JLL services and activities are compliant with the client contract.

  • Perform onboarding activities for vendors performing work in a cGMP environment.

  • Deliver technical competency and adherence to site procedures and policies (where applicable).

  • Support Business Continuity Planning activities, and participate as a key team member in responses to emergency situations.

  • Ensure client satisfaction with delivery of facility management services and provide support in monitoring and increasing customer satisfaction.

Desired experience and technical skills -

Required

  • High School Diploma or GED.

  • 2+ years of technical and coordination experience in all aspects of soft services activities and applications. 

  • 1+ year(s) of experience in Pharma, Biotech or similar life science sector that are governed in GMP regulations, systems and processes.

  • Comprehensive knowledge of Computerized Maintenance Management System (CMMS)

  • Knowledge of GXP and GDP procedures.

  • Knowledge of building systems and equipment reliability.

  • Ability to read and interpret documents and drawings, and use maintenance libraries.

  • Knowledge of Planning & Scheduling methodologies.

  • Proven record of excellent internal and external customer service.

  • Ability to manage multiple operational matters on a daily basis.

  • Advanced computer and office software skills (Word, Excel, and MS Project)

Preferred

  • BA/BS in Sciences, related discipline or equivalent facilities experience and training.

  • Experience using SAP CMMS

Physical work requirements and work conditions

  • Must be able to adequately perform required job functions. This includes being able to lift, bend and move in such a way as to perform job tasks in a safe and approved manner. 

  • Ability to lift 50 lbs.

Estimated total compensation ran for this position is:

55,000.00 – 72,000.00 USD per year

The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant’s education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
