As the Executive Assistant & Admin Lead, you will be part of the General Administration stream and your role will encompass a variety of tasks including general office administration, secretarial support, and clerical duties. KEY RESPONSIBILITIES:

Executive Support: Provide high-level administrative support to executives, including managing schedules, handling correspondence, and making travel arrangements.

Administrative Leadership: Oversee and coordinate administrative tasks and functions to ensure smooth operations.

Communication Management: Serve as a liaison between executives and other stakeholders, ensuring clear and efficient communication. Draft and review documents, reports, and presentations.

Project Coordination: Assist with or lead special projects and initiatives as directed by executives. This includes coordinating resources, timelines, and deliverables.

Meeting Preparation: Prepare agendas, compile documents, and ensure executives are briefed for meetings. Take minutes and follow up on action items.

Confidentiality: Handle sensitive information with discretion and always maintain confidentiality.

Office Management: Oversee the day-to-day operations of the office, ensuring a productive and organized work environment. This may include managing office space, coordinating maintenance, and ensuring compliance with health and safety regulations.

Financial Administration: Assist with budget preparation, expense tracking, and financial reporting. This can include processing invoices, reimbursements, and managing petty cash.

Efficiency Improvement: Identify and implement process improvements to enhance operational efficiency and effectiveness within the executive’s office and the broader administrative team.

WHO WE ARE LOOKING FOR:

someone with:

  • Relevant educational background
  • Proven experience in administrative roles, preferably in a corporate setting.
  • Proficiency in office software and equipment (e.g., Microsoft Office Suite, printers, scanners).
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Ability to work independently and make informed decisions within defined guidelines.
