Job Description

Under the general supervision of the Program Manager I, coordinate pre and postaward activities for the Department of Radiology. Performs professional accounting and administrative duties in the creation and maintenance of financial reports, database reviews, and analysis of financial data relating to the department's grants and contracts.

1. Prepare, analyze and monitor award budgets under the appropriate guidelines of the institution, sponsor, department and any regulatory agencies. Responsible for procurement activities for research awards within financial systems (UMS, Smartstream, CTMS) and maintaining monthly reconciliation to ensure expenditures are in compliance with research and accounting guidelines. Maintain status of awards to facilitate budget extensions, renewals, supplemental requests and other related changes potentially impacting scope, budgetary implications, goals and priorities. (35%)

  • 1.1. Develops accurate sponsor budgets (grant and clinical trial) which adhere to the sponsor and institutional policies with no supervision.
  • 1.2. Utilizes resources provided during training (procedures, websites, instructional memos) to complete work tasks without be reminded that the tools are available for use.
  • 1.3. Works independently to monitor award budgets and reconcile expenditures on a monthly basis. 1.4. Follows written instructions, institutional policies and sponsor guidelines when working on projects to appropriately allocate expenses without the need for supervision.
  • 1.5. Is able to navigate through the various reporting tools and data systems used to perform the procurement functions (Smartstream, UMS, CTMS) without guidance or supervision.
  • 1.6. Accurately provides research staff with technical assistance and guidance on sponsor requirements for oversight of research funds.

2. Review grant proposals, applications and contracts for Radiology research projects and awards for compliance with related agencies and affiliates including MUSC (ORSP, OCGA) and sponsors. Review grant applications and contracts to ensure accuracy and recommend changes prior to submission based on the scope and goal of the award balanced with departmental priorities. Serve as liaison between the sponsor, the PI, department and institutional contacts/resources (ORSP, OGCA). (25%)

  • 2.1. Independently meets with investigators and provides clear guidance to develop grant proposals and contracts to ensure compliance with institutional and sponsor requirements.
  • 2.2. Has working knowledge of key institutional liaisons (ORSP, OGCA) and there functions in order to serve as a resource to the research faculty. Grants Administrator I
  • 2.3. Shows working knowledge of/and is able to apply basic accounting principles when working on budgets.

3. Reporting: Assist with the development and preparation of periodic financial reporting on research awards for department management, PIs, funding & regulatory agencies. (20%)

  • 3.1. Listens to and follow instructions given by Department Research Leadership and Grants Administrator II on how to monitor active award budgets.
  • 3.2. Develop useful templates and reporting tools to keep the research staff abreast of changes and potential deficits that could have a substantial financial impact on department budget.
  • 3.3. Clearly convey and discuss positive and negative budgetary implications to research staff regarding their research funding without supervision.

4. Periodic audit of transactions to ensure that the process meets guidelines for compliance and appropriate billing of standard of care studies. (10%)

  • 4.1. Is able to relay accurate and concise information to research investigators and institutional liaisons requesting a price quote for radiology research imaging procedures.
  • 4.2. Understands audit functions and utilizes this knowledge to ensure that billing is completed in compliance with established guidelines.

5. Support of departmental research team as needed for program expansion, review of existing practices, policy development and projects as requested by the Vice Chair and Department Administrator. (10%)

  • 5.1. Develops own internal system for organizing, tracking and completing task and responding to request.
  • 5.2. Ensures that all task assigned are completed or being worked on in a timely manner based on set deadlines by sponsor or supervisor.
  • 5.3. Attends regularly assigned meetings and provides accurate information on meeting topics.

Minimum Requirements: A bachelor's degree and three years business, personnel, grant-in-aid or public administration experience.
