Oversees established process workflow and ensures that team members understand & performs properly their duties or delegated tasks. Responsible for supervising the team performance and providing constructive feedback and coaching to gauge satisfaction and success. Main point of contact with the stakeholders on the day-by-day operational level. Must have excellent communication skills and a passion for organization, agile and passionate about the team needs. Expertise as a Senior Meeting Planner.

What you’ll do on a typical day:

  • Assigns the new requests to the Meeting Planners (in agreement with the Operations Team Leader - OTL) and coordinates the team´s workload is balanced to ensure events are delivered to specifications and high standards.
  • Coordinates established process workflow and ensures that meeting planners / admins understand & perform accurately their duties or delegated tasks.
  • The OTL establishes the priorities with the Account Supervisor - ACS - who ensures that they are met, advising the OTL of any problem/delay that needs to be managed and/or intervened.
  • Independently of the weekly team meeting led by the OTL, the supervisor will hold operational meetings with the meeting planners to assess workloads, possible assistance between team members and detect opportunities or risk situations to advise the OTL and provide efficient and quick solutions.
  • For those strategic, high volume, more sophisticated projects, the ACS will be together with the OTL, the stakeholder's point of reference for everything that is not purely operations related. The OTL will have to be involved, copied in the mails and knowledgeable of the project to avoid that an event with certain complexity remains in the hands of a single person.
  • Responsible for supervising the team performance and providing constructive feedback and mentoring to gauge happiness and success.
  • Point of contact between the team and the stakeholders on the date-to-date operational duties and issues.
  • Participate of scheduled operational calls with the stakeholders such as qualifying calls & weekly operational calls.
  • Managing deadlines and progress across the team to ensure all the workflow steps are covered and assigned tasks are delivered on time.
  • Ensures efficient workflow is in place & looks for improved processes whenever it is possible.
  • Supports the OTL when being required and advises the OTL if her involvement is needed.
  • Responsible for guiding and training new team members & ensure the team understands the client expectations.
  • The ACS must have delegating skills to keep & encourage the team work to maintain the team engaged and motivated.
  • The ACS must be passionate about operations & team and must be able to make decisions on a smaller scale than the OTL when it comes to operations.

What we’re looking for:

  • > 5 years’ Senior Project Management experience.
  • Amadeus knowledge is a plus.
  • English intermediate level.
  • Excellence Communication skills. Able to communicate professionally with stakeholders.
  • Teamwork and leadership skills.
  • Ability to work under pressure.
  • Cvent knowledge is a plus.
  • Prior experience with Pharma accounts.
  • Strong organizational and time management skills to meet deadlines.
  • Ability to use different tools and / or platforms.
  • Excellent customer service skills.
