General Information:

Reporting to the Country Real Estate Manager, the Facilities & Security Coordinator role is at the forefront of delivering a positive office experience as a cultural ambassador, community advocate and service leader.
The focus of the Facilities & Security Coordinator role is to provide metrics, direction, planning and execution of Global Security and Asset Protections deliverables for the assigned region(s) including, but not limited to: Physical Security Operations, Physical Security Systems, Security Incident Investigations, Site Access Control and Security Systems Monitoring and Threat Mitigation. Function Related Activities/Key.
In this role, you would provide experience services and support to increase individual well-being, personal productivity, and organizational effectiveness. As part of a “front-of-house” team, the Facility Coordinator is responsible for creating a supportive and comfortable atmosphere by welcoming visitors and supporting all employee-facing services.

Responsibilities:

  • Provides coordination and support for delivery of Workplace Services.
    Services include, but are not limited to: Room Management, Meeting & Event Management, Community Programs support, Meeting Supply Equipment, Food Services, Parking & Commute, Document Services, Mail Services, Record Archiving, Office Supply Management, Moves, Adds, Changes, Furniture and Cable Management, Space Reset, Entrance Screening Protocol and Workplace Onboarding.
    Maintain seat assignment documentation updated and provide support to Business Units for new onboarding.

  • Coordinate ALL Canadian physical security systems including; Badge creation, systems maintenance, camera systems, repairs and additions.
    Document security device topology, application setup, workflow, and related data interactions.

  • Will be assigned projects which may include alarm management reconciliation, system inventory, global security initiatives and maintenance.

  • Maintains awareness of the workspace. Submits janitorial and maintenance tickets (ABB portal) as needed and/or communicate with appropriate partners to address issues. Responds to customers (Business unit) of behalf of other team members (e.g. Facilities or Janitorial Team).

  • Assist with on-site project management activities including, vendor onboarding, HSE requirements, invoicing, escort vendors, security, etc.

Qualifications:

  • Minimum of 5 years of related experience in Office Management.

  • Demonstrated experience with electronic card access, camera systems, intrusion, and various software programs.

  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence.

  • Ability to effectively present information to an internal department and/or large groups of employees.

  • Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

  • Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, SharePoint, OneNote, Outlook, etc. Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.

  • Strong problem-solving skills. Highly adaptable and flexible. Ability to work independently with little supervision.

  • Bilingual verbally and in writing (French & English)
