SUMMARY OF POSITION:

Assist the Facilities Manager in the delivery of the day-to-day facility operations, workplace services, and maintenance activities at the assigned location. The position ensures Client assets are operated and maintained in a cost effective non-impacted manner while providing a safe, clean, and comfortable work environment. Assist in the achievement of Key Performance Indicators and operational targets for the responsible location and the wider account. Perform duties with integrity & diligence in a professional manner.

MAJOR ACTIVITIES AND RESPONSIBLITIES:

  • Provide professional, friendly and helpful front desk services and workplace support for guests, visitors and employees in the office.

  • Receiving, dispatching and monitoring of completion of work requests to maintenance and cleaning, vendors or other services providers to ensure works are completed in a timely manner and closed down on the ticket system. Manage and follow up on snagging log based on the findings of site inspections or improvement need.

  • Provide prompt and friendly support to events from the preparations phase until the end of the event (room bookings, room preparation, IT support requests, catering arrangements, welcoming and helping visitors during the event, assisting the event host).

  • Following the guidance of the Facilities Manager, help resolve problems associated with all workplace services including cleaning, maintenance, food service, coffee services, kitchen supplies, parking, vending, badging, conference rooms, cubes as well as interior and exterior furnishings, fixtures and equipment.

  • Provide direction/information to vendors, facilities staff and service providers as required ensuring excellent coordination/execution of work within Client environment with minimal disruption, as needed.

  • Assist with the coordination and scheduling of maintenance activities.

  • Assist with financial processes, such as raising PO’s, budgetary requests, analysis and reporting ensuring no out of line budgetary process and results. Help support facility specific cost savings targets to contribute to the account achieving significant savings. Provide facility specific assistance as needed or requested. Assistance with any other task raised to the Workplace/Facilities team as per guidance of the FM.

  • Seek to continuously improve processes, systems and overall Client satisfaction.

  • Work in line with the Service Level Agreements, help achieve the Key Performance Indicators and scores favorably on the Client satisfaction surveys.

MINIMUM BACKGROUND REQUIREMENTS:

Education & Experience:

High / Secondary school, or equivalent pass, 3+ years related experience in a similar position encompassing facilities/office services management and management of local and senior stakeholder relationships.

Good written & oral communication skills in Spanish as well as English, well-organized and with a demonstrated ability to co-ordinate, prioritize and complete tasks in a timely manner even under pressure.

Skills:

Sound inter-personal / communications skills with adequate skills to perform required job functions with minimal supervision. Willingness to continuously develop and improve. Strong PC literacy and proven ability to manage daily activities using various systems and tools.
