This is a part-time role requiring 20 hours per week.  Applied Signal Technology has an exciting opportunity for an Administrative Specialist in our West Valley, UT office.  You will report to the Engineering Department Manager. Responsibilities include a variety of administrative tasks for the site to ensure effective and efficient operations. Responsibilities include but are not limited to assisting with meeting and event scheduling and set up, conference room reconfiguration and set up, ordering and set up of food for various meeting types and headcounts, managing multiple inventory lists and restocking, and responding to general internal business inquiries in support of both the department and the site. This individual is expected to prove reliable and to foster a collaborative work environment while balancing the needs of internal staff and external business partners. It is essential that this person exercises excellent judgment and discretion when interacting with others and in managing information. Ideal candidate is reliable, professional, organized, able to multitask; must be able to prioritize tasks in a fast paced and changing environment, and has strong communication skills, both written and verbal.

Overview of duties:

Interface and communicate with all levels of the organization in a professional manner.

Provide effective customer support to team members, employees, and candidates through reliable, quick, and accurate problem resolution.

Work well in a small multi-functional support team.

Function effectively with minimal supervision, in order to prioritize and accomplish multiple, time-constrained tasks in a fast-paced and dynamic environment.

Assist with the scheduling and coordination of various types of meetings and events.

Provide catering support to include ordering, set up, and clean up for meetings and events of different sizes.

Management of multiple stock areas including supply cabinets, snack closets, and kitchen supplies.

Coordinate domestic travel arrangements.

Complete expense reports and perform some filing.

Manage calendars, schedule meetings schedule and coordinate with internal and external customers.

Respond to general internal business inquiries.

Resolve requests successfully providing excellent customer service, while maintaining composure and escalating as appropriate.

Synthesize information to create meaningful and effective documents, spreadsheets, and presentations using the appropriate MS Office tools, with attention to detail and competent spelling and grammar.

Required Experience / Skills:

Some experience with Microsoft Office products (Word, PowerPoint, Excel, Outlook). Strong communication skills, including oral, written and presentation.

Experience with handling confidential and non-routine information, and respond with good judgment to non-routine requests or situations.

Experience interacting with a broad range of people at various levels of the organization. Demonstrated experience handling multiple tasks concurrently.

Attention to detail and ability to work with minimal supervision. Able to anticipate needs and be proactive in resolving challenges.

Strong organizational skills. Effective problem-solving skills.

Excellent customer service skills – demonstrate a professional, positive, and collaborative attitude.

Desired Experience / Skills:

2 years of administrative experience. Experience working with remote employees and managers.

The salary range for this role is 37,000 USD - 83,000 USD. The salary range provided is a good faith estimate representative of all experience levels. RTX considers several factors when extending an offer, including but not limited to, the role, function and associated responsibilities, a candidate’s work experience, location, education/training, and key skills.

Hired applicants may be eligible for benefits, including but not limited to, medical, dental, vision, life insurance, short-term disability, long-term disability, 401(k) match, flexible spending accounts, flexible work schedules, employee assistance program, Employee Scholar Program, parental leave, paid time off, and holidays. Specific benefits are dependent upon the specific business unit as well as whether or not the position is covered by a collective-bargaining agreement.

Hired applicants may be eligible for annual short-term and/or long-term incentive compensation programs depending on the level of the position and whether or not it is covered by a collective-bargaining agreement. Payments under these annual programs are not guaranteed and are dependent upon a variety of factors including, but not limited to, individual performance, business unit performance, and/or the company’s performance.

This role is a U.S.-based role. If the successful candidate resides in a U.S. territory, the appropriate pay structure and benefits will apply.
