Role Overview
This position will be responsible for providing a comprehensive range of services in the Facility & Workplace Services with a focus on customer centricity, continuous improvement, operational excellence, safety, and compliance.
The responsibilities will include operations, maintenance, purchasing of material, equipment & supplies, occupancy services, mail service and helpdesk etc.
Duties & responsibilities
Team Structure: As the sole representative for JLL in the office, this role holds a key position.
Client office location: Akasaka, Tokyo
Number of staff in the office: Approx. 40 people
The Lead Facility Coordinator will be accountable for tactically managing the assigned property/facility, functioning as the on-site key point of contact for stakeholders, clients, and vendors.
Scope of Work
Organizing facility management for the Tokyo office, ensuring a smooth operation for 40 employees
Implementing data management, analysis, and proposing strategies for continuous improvement
Supervising and coordinating vendor activities, encompassing vending machines, furniture, and office cleaning
Proficiently handling procurement processes, including obtaining approvals, budget control, cost and service reviews
Managing maintenance procedures for air conditioning, MFP, and all facility equipment
Overseeing the security system, covering card issuance, and card processing
Ensuring safety and environmental compliance through the execution of fire drills and providing induction training for emergency evacuation
Cultivating effective communication channels with employees, landlords, and building services
Managing daily/weekly/monthly SLAs and generating monthly management reports (MMRs)
Adopting and leveraging technology tools for day-to-day operations, including the efficient handling of work orders, purchase orders, and incident reporting.
Qualifications & Experience
Demonstrable experience in hospitality and facility-related area
A committed and customer-oriented professional
Proficiency in IT literacy
Strong verbal communication skills and a high level of proficiency in written English
Personal Skills
Exceptional communication and interpersonal skills
Proactive and self-driven
Proficient in task prioritization to ensure effective service delivery and goal attainment
