Job Description:

We are looking for an Executive Assistant who reflects the innovative spirit, creative talent, production excellence, collaborative mindset and passion for great filmmaking that define Lucasfilm.

The Post Production Executive Assistant will play a key role in supporting the SVP, Post Production, VP, Post Production, and departmental needs as required, in all aspects of the Post Production of multiple, international feature film and streaming series processes.

What You’ll Do

•  Support Post Production department with administrative assistance:

  • Manage & support the SVP and VP Post Production calendar, including organizing meetings with other Lucasfilm departments and Editorial/Post teams throughout all shows

  • Record meeting notes and action-items and facilitate follow-up

  • Help facilitate remote conferencing accounts and toolsets

  • Preparing and tracking departmental expense reports, while adhering to company policy

  • Book international and domestic travel for Post Production department 

  • Maintain department contact lists, and proofread Editorial/Post contact lists from each show

  • Receive, sort and distribute incoming mail and packages

• Organize conference and screening room bookings 

• Assist with preparation of Post Production schedules and tracking documents (ie; Editor and Composer tracking)

• Assist with physical asset tagging, maintenance, and inventory management

• Liaise with each show to collect/ship wrap materials 

• Assist with departmental digital asset management (ie; contracts, Disney deliverables and mastering specs, music cue sheets, etc), and digitize legacy paper documents

• Liaise directly with vendors to order specialty supplies for Post Production

What we’re looking for

• 2+ years of experience as an Executive Assistant and/or Coordinator in post production and/or production who is comfortable working in a fast-paced and constantly changing environment

• Bachelor’s degree in Film, Art, Technology or related field or equivalent work experience required

• Technical/computer skills and experience including Google Suite, Zoom, Microsoft Office Suite, Concur

• Ability to anticipate and address upcoming needs of the Post Production Team, with the flexibility to pivot accordingly

• Proven aptitude in a team setting, with the ability to execute assigned tasks

• Ability to help manage and document workflows

• Literacy and interest in current and future technologies related to Post Production

• Commitment to maintaining the highest level of confidentiality and discretion

• Great communication skills with professional manner

• Must have a vehicle and current driver’s license

The hiring range for this position in San Francisco is $63,400.00-$84,900.00 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
