The Entertainment Talent & Logistics Specialist is responsible for all Disney Cruise Line Entertainment Contracted Talent in areas of contracting, contract lifecycle, travel, logistics, invoice payments, shipboard cabin allotment and special projects.  You will support the Talent Booker in strategic and daily operations.

Responsibilities:

  • Responsible for booking of all travel for contracted talent, third party talent and vendors, inclusive of organization, ticketing, preparation of required documentation and tracking of all travel arrangements, associated costs, and logistics required to support.

  • Reconcile charges to the DCL Entertainment business travel card and track all documentation.

  • Manage the contract lifecycle obtaining signatures as needed, recording contracts in alignment with Records Management policy and inputting contracted act feedback in the Entertainment Management Application (EMA).

  • Backup for booking talent in emergency situations.

  • Manager on Duty for Orlando rehearsals, as necessary

  • Screen guest Clergy members for potential services onboard to ensure Safety and Security protocol is followed.

  • Assist with booking of zero-based guest presenters, such as VIP Alaskan Naturalists.

  • Aware and continually researching worldwide safety measures and entry/exit requirements for international destinations while documenting current state and relaying to all contracted talent.

  • Manage with Revenue Management blocking and booking cabins accordingly avoiding peak times and addressing Disney Cruise Line Business and Operational needs with focus on maximizing revenue and minimal Guest impact.

  • Partner with Inventory Control to create berthing assignments for variety entertainers, contracted musicians, and entourage or guests as required.

  • Prepare required documentation and partner with Disney Cruise Line® Entertainment leaders regarding shipboard cabin allotment documentation (IRGS process)

  • Works directly with Guest Services Managers and Crew Services Managers on all vessels for coordinating, scheduling, and booking stateroom assignments for Vendors, Cast and Crew sailing on behalf of Entertainment Operations.

  • Coordinate ground transportation and clearances for variety entertainers and musicians.

  • Creating itineraries (both travel and shipboard) for VIP talent.  Submitting and distribution of all paperwork for VIP talent and Guest Presenter travel and logistics, including flights, Internal Stateroom Requests, Vendor Clearance Requests, ground transportation, hotel accommodations, and boarding letters.

  • Manage Process for Entertainment Operations with Immigration Compliance to obtain approvals and coordinating with Port Agents for special requests including special embarkations and debarkations.

  • Communicate important information, logistics, and advisory to Senior Entertainment Manager and other shipboard leaders in regard to expected talent, vendors, Cast and Crew.

  • Assist with maintaining ongoing shipboard communication and respond immediately to urgent ship requests relating to Vendors and special embarks and debarks as needed.

  • Prepares all joining letters needed by Vendors or Cast when traveling.

  • Assists with coordination required equipment and supply shipping in partnership with Disney Cruise Line® Warehouse team

  • Manage all contracted talent payment requests for vendors, consultants, variety entertainers, agents, and guest presenters.

  • Assist with other department payments and purchase orders as requested.  Includes all SAP related functions such as: receiving and coding invoices, generating, and routing requests and invoice for signature, and partnering with WDSS/Accounts Payable to research all missing or late payments.

  • Complete, modify and maintain new vendor set-up in SAP as necessary for agents and vendors.

  • Assist with boarding requests and updating SVAM for Vendors / Cast that need access to the vessels including those sailing back-to-back.

  • Provides appropriate Vendor and Cast parking information for those visiting the port or sailing on business.

  • Maintain a working knowledge Entertainment Management Application (EMA), identifying bugs/glitches, coordinating system upgrades with the vendor, and testing/implementation of system updates.

Required Qualifications:

  • Demonstrated strong computer proficiency with SAP, Microsoft Office applications, including Microsoft Word, Excel, PowerPoint, Outlook, and Access; willingness to learn new software programs

  • Demonstrated experience processing payments through SAP including ZAP

  • Demonstrated Experience working with travel & expense policies/procedures including booking travel through Concur for a large volume of travelers

  • Knowledge of contract administration including drafting contracts, working with Legal counsel as necessary, and understanding of the contracting lifecycle

  • Demonstrated strong service orientation, partnering, and influencing skills

  • Basic accounting skills to support the tracking and reconciliation of all travel costs monthly

Preferred Qualifications:

  • Understanding of guest entertainer immigration rules (Passenger Vessel Safety Act and similar)
