Job Description

Day to Day Responsibilities:

  • Support Facility Manager and Facility Coordinator with day-of execution of meetings, conferences and events

  • Contribute to creating a customer focused environment consistent with Atlassian values and the WE team’s secret sauce “How WE Roll”

  • Demonstrate continuous effort to improve delivery and customer service levels

  • Work cooperatively and jointly with internal (departments) and external (vendors) contacts to provide quality customer service to staff

  • Responsible for providing facilities services and meeting & event assistance including: moving, setting up and striking furniture, décor, removable walls, and event equipment

  • Performs minor repairs and routine equipment maintenance, including patching, painting, hardware repairs and other repair/replacement work as required

  • Performs routine daily inspections of assigned buildings and spaces

Meeting & Events Technician Responsibilities: 

  • Assists with logistics, coordination and execution of events

  • Performs the duties associated with events, including staging rooms per the requested set-up plan in a timely manner, and resetting them to a normal state 

  • Creates a hospitable environment for attendees, event owners, and vendors

  • Prepare, refresh and clear food and beverage stations

  • Performs daily meeting and conference room turnover and/or midday room refresh, reconfigurations and evening resets for indoor and outdoor spaces

  • Support the Concierge Manager & Workplace Manager if necessary to meet the need of partners, clients, and vendors

  • Escalates potential issues/concerns to management as appropriate

  • Responsible for post event storage and inventory of tables, chairs, and reporting of cleaning services needs

  • Conducts set up, refresh and removal of food, beverage, and service items

  • Completes room checks and ensures technical and visual spaces are functioning properly and reporting of AV services needs

  • Monitors and responds to event activities such as gathering event supplies, equipment needs, food & beverage services, facility security, AV, etc

  • AV setup and troubleshooting experience preferred, but not required. 

Facilities Responsibilities: 

  • Provides general and detailed maintenance (either with direct or indirect supervision), including patching, painting, hardware repairs and other repair/replacement work as required

  • Completes all documentation for work performed via Jira Service Desk, and other records and documentation in a timely manner

  • Supporting facilities with managing vendors onsite 

  • Liaising with building management as needed

  • Triage of workplace tickets accordingly 

  • Performs routine facility and equipment maintenance

  • Performs routine daily inspections of assigned buildings and spaces. 

  • Adhere to building WHS policies and procedures including emergency procedures

  • Follow all activity policies and procedures, including all HSSE related requirements at all times

  • Participate in all HSE related programs & activities as required, including incident investigations, interviews, auditing and assessment, etc

Guest Services Responsibilities:

  • Support Guest Services Team as needed 

  • Assume responsibility for all meeting spaces ensuring they are presentable at all times

  • Provide a warm and friendly welcome to all customers and visitors to the buildings

  • Provide assistance and direction according to the customer requests


Communications 

  • Communicate with team and client frequently and effectively

  • Emails alerting Atlassians of site facilities and event activities

  • Update work tickets

  • Monitor and update site specific and global chat rooms

REQUIRED SKILLS & EXPERIENCE:

  • Support a positive team environment with a friendly and can do attitude

  • Ability to multitask while maintaining a positive outlook and proactive approach

  • Demonstrate the ability to make the customer feel that they are the only guest, and delivering an outstanding lasting impression

  • Have excellent communication and interpersonal skills required

  • Ability to communicate effectively, both verbally and in writing

  • Sound computer skills including willingness to learn Atlassian software products and tools

  • Ability to work with fellow colleagues and other wider team members

  • Build rapport and cooperative relationships with customers and visitors

  • Contribute to maintaining a safe and healthy workplace

  • First Aid Officer desired or willingness to be trained

  • Floor Fire Warden desired or willingness to be trained

  • Ability to use basic carpentry, plumbing, painting, and custodial hand and electric powered tools. 

  • Read, comprehend, and work from plans and operating instructions.

  • Detail orientation with a mindset towards meeting the JLL & Atlassian’s high standards for maintenance of facilities. 

  • Demonstrated time management skills and including multi-tasking. 

  • Works independently with limited supervision

  • Ability to stoop, stand, climb, frequently lift a minimum of 50 lbs. of equipment (pumps, tools, ladders) and safely use devices

  • Regularly required to crouch and reach to install/move equipment by bending forward at the waist or by bending legs and spine

  • Involves movement between floors to facilitate work
