We are looking for an Executive Assistant to join our Supply Chain team in Istanbul. Directly report to our Function Lead.

Responsibilities

  • Manages the agenda of the Function Lead
  • Carries out the document tracking, writing /photocopying works, Concur expense management of the Function Lead in security and confidentiality
  • Provides assistance to the Functional Lead and Turkey based AMESA team regarding travel arrangements, tickets, transfers, accomodations.
  • Secures timely visa invitation letters, visa applications and follows up on the visa process of the Function Lead and the Turkey based AMESA team
  • Ensures the fulfillment of the organizations to be hosted by the relevant department such as Annual Team Meetings, Vendor Meetings etc. through management of the venue, agenda, transfers, accomodation etc.
  • Organizes regular team meetings F2F or Virtual
  • Issues monthly T&E Report (actual vs. budget) of the AMESA Engineering team through liaison with AMESA HQ Finance team
  • Oversees overall AMESA Engineering team calendar across multiple geographies for celebration of special days, tracking of public holidays to streamline meeting dates etc.

Qualifications

  • University graduate
  • Relevant experience as an Assistant
  • Very good command of English&Turkish; both written and spoken
  • Good knowledge of MS Office Applications
  • Strong communication skills as you will be interacting with various departments as well as internal/external foreign counterparts from different countries
  • Structured, independent and solution-oriented way of working
  • Advanced time management, problem solving and organization skills
