What will you do? 

A day in the life of a Senior Creative Project Coordinator at Altra looks a little like this: 

We are seeking a motivated Senior Creative Project Coordinator and executional taskmaster to join our small but mighty Marketing Operations team. This role requires a combination of administrative, in-the-weeds project coordination and traffic management plus strong soft skills, relationship building, problem solving, and effective communication across departments. 

This candidate will be responsible for managing the schedules and creative trafficking of all marketing materials for tier three integrated campaigns, email, ecommerce and retailer/wholesale projects including providing marketing coordination and administrative support for sales meetings, tradeshows and brand activations when needed. 

We are looking for a candidate who can manage creative projects and identify and implement process efficiencies along the way. 

Let’s break down that day-in-the-life a bit more. 

  • Collaborate closely with a variety of stakeholders, both internal and external, on all aspects of projects, including planning, gathering specifications and requirements and managing the release of final deliverables to the proper partners. Track and report on project progress, approvals, timelines, and budget. 

  • Work with producer to implement a clear and streamlined sample check-in, organization and discrepancies tracking process to ensure team is always pulling the latest and greatest for shoots and QC 

  • Assist the producer and events coordinator in gathering, ordering and sending samples for marketing photo shoots and planned events or tradeshows when needed. 

  • Manage the timelines and execution of GGTM (Seasonal Sales Meeting) assets to include the catalog (workbook), tech cards, marketing pages, catalog scans, etc. 

  • Provide support to producer and paid media team in the release and trafficking of media assets to internal partners, retailers and media agencies. 

  • Assist the creative producer in managing sample requests for product photography needs and work with external vendors to ensure timeline and milestone adherence. 

  • Assist the events manager with event coordination when necessary. 

  • Work with ops manager and producer to ensure that seasonal sales, retailer and partner assets are released on time. 

  • Manage multiple simultaneous project schedules, outline key milestones, and communicate project status with appropriate team members and stakeholders. 

  • Work with marketing operations manager and creative leadership team to assign the proper resources to projects as they come in through the project management intake platform 

  • Customize and update schedules in Wrike and shepherd work and approvals through the system in accordance with established deadlines and schedules to properly provide baseline burn reports, project progress updates and manage resources appropriately. 

  • Hold stakeholders accountable to internal review deadlines and hold creatives responsible for on-time and high-quality deliverables 

  • Schedule outlined meetings to keep projects and creative review cycles on track. 

  • Manage the follow up and content gathering for the monthly run-down email blast. 

  • Work closely with stakeholders to gather project requirements and provide updates on project statuses. Collaborate with creative teams to understand project requirements and provide support as needed 

  • Assist in the implementation and maintenance of creative project management and digital asset management systems.  

  • Ensure that the ecom and creative teams have submitted their T&Cs and new copy for legal submissions within the timelines allotted 

  • Support the email, ecom and copy team with French-Canadian translation submissions and tracking when necessary. Ensure that the team is engaging our partners for translations in a timely manner 

 

What do you need to succeed? 

We all have unique skills that we bring to work and celebrate every day. For this role, there are foundation skills you’ll need to succeed and excel. Additionally, while formal education in a related field is great to have, we are most interested in your 3-5 years of experience in managing creative projects, events or production timelines. Bachelor's degree in business, marketing, communications, or a related field is preferred.  

The foundation skills you will need in this position are: 

  • Experience in creative traffic or project management within a marketing or advertising agency OR internal creative or marketing department within a retail industry preferred. 

  • Understanding of project management and scheduling platforms (e.g. Wrike or Asana) or willingness and proven ability to learn new software 

  • A track record of on-time project deliverables/tactics delivery and the ability to operate independently and autonomously are key to this role's success. 

  • Highly organized with a passion for process, organization and tactical execution with strong attention to detail. 

  • Ability to multitask and maintain professional flexibility to accommodate rapidly changing priorities in a fast-paced environment 

  • Excellent communication and interpersonal skills with collaborative and team-oriented approach. Ability to embrace and take on additional responsibilities as result of being part of a nimble, dynamic and emerging brand 

  • Financial acumen, problem-solving skills and willingness to embrace new challenges

Hiring Range:

$73,440.00 USD - $91,800.00 USD annually

Incentive Potential: This position is eligible for additional compensation awards that may include an annual incentive plan, sales incentive, or commission potential. Specific details of the additional compensation eligibility for this position will be provided during the recruiting and interview process.
