Job Description Summary:

This position will require oversight of projects in Central Ohio and across other regions within the State of Ohio. This position has primary responsibility of medical equipment planning and management for capital projects, management of surplus furniture and medical equipment, responsibility for internal moves, involvement and alignment with standards and purchasing, and participation and coordination of various clinical acquisitions.

RESPONSIBILITIES AND DUTIES

Medical Equipment Planner/Manager for Capital Projects

  • Manage the medical equipment scope, budget, deliveries, installation and punch list for capital projects.
  • Review and approve of medical equipment lists as developed & provided by 3rd party equipment planners who may be hired by Architects on capital projects.  
  • Work with the Architect and Architect’s Medical Equipment Manager during the design and scope development phase of the project to ensure the equipment is as desired for the project and meets OhioHealth Standards and Guidelines along with any bulk purchasing agreements OhioHealth has established.
  • Some capital projects may not have a 3rd party Medical Equipment Manager.   In this case this role will be responsible for managing the medical equipment scope, budget, deliveries, installation and punch list for capital projects.
    • Advise on equipment needs and coordinate with architectural and MEP design.
    • Define medical equipment needs with providers.
  • Procurement of medical equipment
    • Finalize equipment details and quantities.
    • Coordinate with OhioHealth supply chain on pricing and scope on standard direct contracts and Vizient contracts.
    • Obtain quotes from suppliers
    • Analyze quotes and finalize Purchase Orders with providers and Project Manager
    • Manage medical equipment purchases against project budget by maintaining budget spreadsheet
    • Advise Project Manager of any projected budget savings or overages and make recommendations
    • Manage delivery of medical equipment to OhioHealth warehouse and/or directly to project site
    • Manage delivery of medical equipment from OhioHealth warehouse to project site as needed and coordinated with Project Team
  • Manage deliveries and installation of medical equipment with vendors and their installers.   Advise Project Manager of any issues with quality and expected timelines.
  • Request Return Goods Authorization for items of substantial value.   Submit to PM for processing and credit to the project.
  • Manage medical equipment punch list and requested change requests.
  • Provide medical equipment as needed for off-site project mock-ups.

Manage Surplus Furniture and Medical Equipment:

  • Inventory surplus material and store at OhioHealth warehouse.
  • Control and distribute surplus to projects and other one-off requests across the system.
  • Coordinate with Project Manager on utilizing inventory surplus for capital projects.
  • Maintain surplus inventory list with approximate dollar value, including a list of items and their dollar value sent from surplus inventory to capital projects and other requests.
  • Work with Warehouse personnel (both external and internal OhioHealth associates) to facilitate warehouse and logistics operation.
     

Internal Moves and Other Responsibilities

  • Coordinate and oversee small moves. This includes coordinating with 3rd party move contractor.
  • Coordinate minor equipment requests that come through the OhioHealth online request portal.
  • Work with internal OhioHealth teams to determine if excess items should go to surplus, disposal, or donation.
  • For donated items, coordinate with internal OhioHealth group for donations. 
  • Maintain itemized list of cost avoidance to track landfill diversion.
  • Work with Clinical Engineering to donate used medical equipment.
  • Manage 3rd party warehouse staff.

Standards and Purchasing

  • Work with purchasing to maximize bulk capital buys across system.
  • Attend meetings with vendors and Supply Chain to ensure OhioHealth is getting the optimized product at the most cost-efficient price.
  • Maintain and/or update RECF medical equipment standards as technology and preferences change.
  • Support OhioHealth supplier diversity initiatives.

Ambulatory Practice Acquisitions

  • Visit site (in-person) that is under consideration, or to be acquired.
  • Determine what items need replaced to meet OH standards, what is to be disposed, and what can be donated.
  • Develop medical equipment and furniture assessment to meet OhioHealth standards.
  • Provide internal Leadership with scope of work, quantity, budget and timeline to acquire items.
  • Manage removal of old items and installation of FF&E with assigned vendor(s).
  • Reports to the Directors of Design and Construction.
  • Assures the delivery of quality departmental/clinical services in accordance with established OhioHealth and regulatory/accreditation agency standards.
  • Is responsible for participation in committees, task forces and projects as assigned.
  • Assures the provision of a safe associate and patient environment.
  • Works collaboratively with all levels of OhioHealth and promotes the team concept with their department and OhioHealth-wide.
  • Demonstrates positive customer service and fosters employee relations.   Maintain positive synergy amongst project Team
  • Consultant (Project Manager) will be assigned to multiple projects and care sites at a time.  At any time, a Consultant may manage over 20 simultaneous projects.
  • Is supportive of OhioHealth initiatives and projects and functions as a positive change agent.
  • Promotes a positive and professional image as a role model, coach, mentor and resource for staff and peers.
  • Develops and submits capital budgets and project schedules and reports variances as required to the Director.
  • Develops project equipment lists and requirements by directly overseeing design meetings with facility employees and design consultants.  Including Department Managers, Clinical Engineering, Facilities and IT. 
  • Provides direct supervision of contractors working on Project, including but not limited to: adherence to job specifications, OhioHealth Work Safety Standards and ICRA requirements.
  • Attends and participates in educational programs or activities to maintain and exceed current level of knowledge or expertise to manage department.

MINIMUM QUALIFICATIONS

Bachelor of Science in Engineering, Construction Management, Architecture or related field.  5-10 year experience managing medical equipment, specifying, budgeting, procurement, and installation. Working in a Healthcare environment is preferred, but not required.

SPECIALIZED KNOWLEDGE

Proficient in computer software including:  Microsoft Word, Excel, Project and PowerPoint. Ability to quickly learn and understand tools such as e-Builder and Primavera P6.
