KEY RESPONSIBILITIES & ACCOUNTABILITIES:

 ADMINISTRATION:

  • Maintain Maintenance invoicing

  • Work with suppliers and service contractors on pricing and charge discrepancies

  • Collaborate with accounting to ensure accurate payment are made

  • Provide contractors and suppliers with the Health and Safety packages, company policies & procedures

  • Maintain all contractor and supplier files

  • Coordinate waste management programs such as changes, increases/decreases and locks/ keys

  • Corresponding with the Market Managers on a regular basis with regards to Waste and Pest Control

  • Coordinate and track programs such as pest control, preventative maintenance, snow removal, landscaping, and lighting/fixtures

  • Tracking and maintaining all equipment inventory received and sent out from the warehouse

  • Preparing maintenance and procurement manuals, letters and spreadsheets

  • Day-end reports

  • Other administrative duties as requested

MAINTENANCE:

  • Storage boxes/tag & ship out

  • Support office equipment and appliance maintenance as required

    including refreshment replenishment, cleaning and replenishing photocopiers

  • Update market/RT changes

  • Maintain supplies and stock within the mailroom/storage room

  • Ship/Receive parcel deliveries including couriers, Canada Post,

  • Sort/ Ship Operations/Store mail

  • Other maintenance duties as requested

PROFILE REQUIREMENTS:

  • High  school graduate

  • 2-3 years administrative experience within an office atmosphere

  • Strong communication and organizational skills are required.

  • Full working knowledge of Microsoft Office

  • Superior Excel skills a must
