POSITION SUMMARY

Maintains and supports the business unit by providing administrative support functions for customer service. This includes communication management, scheduling management, and office management for the Heartland Business Unit. Manages multiple administrative responsibilities to ensure efficient and effective operations. 

ESSENTIAL JOB FUNCTIONS

  • Assist with customer inquiries, customer satisfaction and customer concerns. This includes incoming calls, voice messages, and social medial.
  • Answer, screen and escalate phone calls as needed.
  • Create compliment and complaint reports.
  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material.
  • Receive, sort and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Order office supplies and keep inventory of stock.
  • Send BU monthly work anniversary letters.
  • Update calendars and schedule meetings and meeting rooms.

QUALIFICATIONS

  • Proven work experience in retail operations.
  • Receptionist, Front Office Representative, or similar role preferred.
  • Proficient in Microsoft Office including Outlook, Word, Excel, PowerPoint; Access, Photoshop and Adobe preferred. 
  • Ability to work flexible hours with limited direct supervision; strategic approach with high level of organization skills to manage multiple and constantly changing priorities. 
  • Hands-on experience with office equipment.
  • Professional attitude and appearance.
  • Strong verbal and written communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer service attitude.
  • High school diploma or equivalent required: AA or BS preferred.
  • Knowledge of retail business preferred.

PHYSICAL DEMANDS

  • Ability to communicate verbally and in writing with operations, customers, and vendors.
  • Ability to sit at a desk for long periods at a time.
  • Ability to operate a computer.
  • Ability to travel to store locations as needed.
  • Occasionally lifting, bending, and/or carrying up to 50 pounds from the ground to waist.
